Role Description
The PMO Administrator is responsible for providing administrative, coordination, and governance support to the Project Management Office (PMO), ensuring the effective execution and monitoring of projects and programs across the organization. This role supports project governance processes, maintains project documentation, and assists in tracking project performance to ensure alignment with established standards, methodologies, and reporting requirements.
Key responsibilities include maintaining project schedules, updating project management systems, coordinating meetings, preparing reports and dashboards, and ensuring project records are accurate and up to date. The role assists in monitoring project milestones, risks, issues, and action items, supporting project managers and stakeholders in maintaining project controls and governance compliance.
The PMO Administrator is also responsible for managing project documentation, facilitating communication between project teams, and supporting resource planning and project portfolio administration activities. The position helps ensure consistency in project reporting, document control, and adherence to PMO frameworks and procedures.
In addition, the role contributes to continuous improvement initiatives by supporting the enhancement of project management processes, templates, reporting tools, and administrative practices across the PMO function.
Qualifications
Strong organizational and administrative skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
Good understanding of project management principles, governance frameworks, and PMO best practices.
Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Word, and Outlook, with strong reporting and documentation capabilities.
Experience using project management and collaboration tools such as Microsoft Project, Primavera, Jira, Asana, Smartsheet, or similar platforms is advantageous.
Strong attention to detail and accuracy in maintaining project records, schedules, reports, and governance documentation.
A degree or diploma in Business Administration, Project Management, Management, or a related discipline is typically preferred.
Excellent communication and interpersonal skills, with the ability to coordinate effectively with project teams, stakeholders, and management.
Strong analytical and problem-solving abilities, with the capability to identify issues, monitor project progress, and support effective decision-making.
