The Near North District School Board (NNDSB) is a public education organization in Northeastern Ontario, serving over 9,600 students. This position reports to the Director of Education and is responsible for all aspects of Privacy and Information Management, developing and leading the Records Management and Retention process for corporate and school staff, and serving as a privacy subject matter expert in system level committees and reviews.
Overall, the incumbent will contribute to student achievement and the NNDSB Mission Statement by leading the Board’s Records Management and Privacy and Information Management systems, ensuring student records are properly maintained and privacy protocols are clear.
Duties and Responsibilities
- Provide leadership and support on privacy matters – ensuring Board compliance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), Personal Health Information Protection Act (PHIPPA), and the Personal Information Protection and Electronic Documents Act (PIPEDA).
- Implement, monitor and report on an effective privacy management program, assessing and improving board practices, and responding to any potential privacy breaches or complaints.
- Manage all aspects of Freedom of Information Requests, including gathering records, applying exemptions, redacting documents, and preparing responses or representations.
- Liaise with external bodies such as the Information and Privacy Commissioner (IPC) of Ontario and other partners as required.
- Lead the maintenance and ongoing review of the Board’s records management system.
- Organize and store current corporate records and archives physically.
- Provide leadership regarding the scanning and storage of student transcripts and OSR files from schools.
- Provision of staff professional development and orientation in relation to retention responsibilities, retrieval, and disposal of records.
Education
- Two (2) years post-secondary education in Information Management, Privacy and Access, and/or Records Management (three-year degree preferred).
- Technical training or certification in Privacy, Information Management, and Access is considered an asset.
Experience
- Three (3) years in an organization managing and implementing effective organizational systems and procedures.
- Evidence of delivering professional learning.
Knowledge, Skills & Abilities
- Knowledge of and experience with both paper and electronic records management systems and the records management life cycle.
- Knowledge and application of MFIPPA and PHIPPA.
- Knowledge of copyright laws.
- Effective organizational, written, oral, time management, and record-keeping skills.
- Strong computer skills with experience in MS Office and electronic records management systems.
- Experience in creating concise professional development tools.
- Ability to establish and maintain collaborative working relationships.
- Ability to monitor and prioritize organizational due dates and deadlines.
- Discretion and confidentiality.
- Physical ability to lift up to 50 lbs.
