The Contract Management Coordinator / Analyst is responsible for the administration, coordination, and operational management of the company’s contract lifecycle management (CLM) process within Strategic Procurement.

This role serves as the primary administrator for the company’s contract management system and supports the intake, routing, approval, execution, reporting, and archival of contracts across the organization. The role partners closely with Procurement, Legal, Finance, Internal Audit, and business stakeholders to ensure contracts are processed efficiently, routed appropriately, executed in accordance with company policies, and maintained within a centralized repository.

The Coordinator / Analyst plays a critical role in maintaining governance, version control, reporting accuracy, approval integrity, and overall operational effectiveness of the contract management process.

Primary Responsibilities / Accountabilities

  • Serves as the primary administrator for the company’s Contract Lifecycle Management (CLM) platform and related workflow tools.
  • Manages intake and triage of incoming contract requests and ensures submissions contain appropriate supporting documentation and required business information.
  • Coordinates contract routing and approval workflows in accordance with company delegation of authority and procurement policies.
  • Monitors contract status and proactively follow up with stakeholders to ensure timely progression through review and approval processes.
  • Coordinates electronic signature execution through platforms such as DocuSign and ensures all required approvals and signatories are obtained prior to execution.
  • Maintains centralized contract repository and ensures executed agreements, amendments, renewals, and supporting documentation are properly stored and indexed.
  • Maintains document naming conventions, metadata integrity, and version control throughout the contract lifecycle process.
  • Tracks contract milestones including expirations, renewals, termination windows, and required notice periods.
  • Generates recurring and ad hoc reporting related to contract volume, cycle times, approval status, renewals, expirations, and workflow metrics.
  • Supports audit requests and compliance initiatives by maintaining accurate contract records and documentation.
  • Assists in maintaining contract templates, standard documentation, and clause libraries where applicable.
  • Identifies opportunities to improve contract workflows, automation, reporting, and operational efficiencies within the CLM process.
  • Provides guidance and support to internal stakeholders regarding contract submission procedures, approval routing, and system usage.
  • Partners with Procurement, Legal, Finance, IT, and business stakeholders to support effective contract governance and administration.
  • Ensures integrity and accuracy of contract data, reporting, and repository management activities.

Required Skills & Experience

  • Bachelor’s degree preferred in Business Administration, Supply Chain, Finance, Legal Studies, or related field.
  • 2–5 years of experience in contract administration, procurement operations, legal operations, contract management, or related functions.
  • Experience working within a Contract Lifecycle Management (CLM) platform required.
  • Experience with electronic signature platforms such as DocuSign preferred.
  • Strong organizational skills with exceptional attention to detail and documentation accuracy.
  • Ability to manage multiple priorities and workflows within a fast-paced environment.
  • Strong communication, coordination, and stakeholder management skills.
  • Strong analytical and problem-solving capabilities.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications preferred.
  • Experience supporting procurement, legal, compliance, or operational governance processes preferred.
  • Familiarity with approval matrices, delegation of authority structures, and corporate governance processes preferred.
  • Experience with repository management, reporting, workflow administration, and version control practices preferred.
