Role Overview
The Procurement Officer plays a vital role in bringing our creative concepts to life. You will be the bridge between our internal creative teams and our network of vendors, ensuring that product samples, materials, and packaging meet our design, quality, and functional standards.
This role requires a balance of sharp organizational skills to manage purchase orders and logistics, alongside strong communication skills to build lasting relationships with suppliers. Key Responsibilities
1. Sourcing & Supplier Coordination
- Work closely with the creative and internal teams to source product samples, materials, and packaging that meet design and functional requirements.
- Identify and develop new suppliers or materials to support product development and operational needs.
- Coordinate closely with vendors to ensure smooth sampling processes and timely delivery of required materials.
2. Procurement Operations & PO Management
- Prepare, review, and issue Purchase Orders (PO) based on internal requests, ensuring accuracy in quantities, specifications, and pricing.
- Maintain updated procurement records including supplier details, pricing, and purchase history.
- Support basic documentation related to purchasing and delivery processes.
3. Supplier Communication & Logistics Coordination
- Liaise directly with suppliers for order follow-ups, delivery tracking, and issue resolution.
- Arrange and coordinate sample deliveries and ensure timely receipt of goods.
- Communicate clearly with vendors to ensure smooth day-to-day procurement operations.
4. Commercial & Quality Support
- Assist in reviewing product samples, materials, and finishes with the creative team before approval.
- Ensure incoming samples and goods meet required specifications and quality standards.
- Support simple cost awareness and pricing comparisons when required.
Requirements
1. Education & Experience
- Diploma is preferred but not mandatory.
- 1–3 years of experience in procurement, purchasing, sourcing, or related fields is an advantage.
- Experience in retail, consumer goods, printing, or creative production industries is highly preferred.
2. Skills & Technical Ability
- Basic to intermediate Microsoft Excel skills for data entry and record keeping.
- Willingness to work with inventory/procurement systems.
- Understanding of basic documentation such as invoices, purchase orders, and delivery orders.
3. Communication & Language
- Strong communication skills to coordinate with both suppliers and internal teams.
- Proficiency in Mandarin Chinese is highly preferred
4. Personal Attributes
- Responsible, professional, detail-oriented, and well-organised.
- Able to manage multiple suppliers, samples, and timelines at the same time.
- Good attitude and willingness to learn is more important than formal qualifications.
5. Additional Advantage
- Experience in printing industry is a plus.
- Basic understanding of design or creative production processes will be beneficial.
