The Association of Zoos and Aquariums (AZA) has an opportunity for a detail-oriented individual to serve as Program Assistant for Grant Programs.
STATUS: Full-time, Non-Exempt

The Program Assistant for Grant Programs provides ongoing clerical support to assist in the administration of AZA’s grant and scholarship programs. The position is responsible for tracking and organizing incoming applications, maintaining records, compiling and reporting statistics, and responding to general inquiries related to the grants and scholarship programs.
The position reports to the Chief Financial Officer, but will interact with multiple departments within AZA, in support of various granting programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
Serves as the initial contact for grant and scholarship applicants.
Reviews incoming applications and related materials for completeness and accuracy.
Maintains detailed records of all applications for each grant and scholarship cycle.
Organizes applications and supporting documents on the AZA network, to provide access to reviewing staff.
Responds to inquiries from applicants on a timely basis.
Provides updated reports on applications to appropriate AZA staff to enable monitoring of applicant responses to grant and scholarship application solicitations.
Tracks and processes grant and scholarships payments, including verification of completeness of supporting documentation (tax forms – W-9, etc.).
Prepares communications with applicants, including announcements, grant acceptance letters, and spreadsheets as directed.
Participates in the selection and implementation of software applications to assist in the processing and management of grant and scholarship applications.
Provides support to other members of the AZA Finance Department, as needed.
QUALIFICATIONS
1-3 years’ practical experience relevant to the position.
Administrative experience preferred.
Ability to maintain confidentiality of restricted information.
Superior organizational skills and strong attention to detail.
Excellent verbal and written communication skills.
Ability to track data accurately, and track and manage multiple projects.
Ability to set and manage priorities to meet deadlines.
Ability to establish and maintain effective working relationships with AZA staff and Association members.
Ability to accept feedback graciously and effectively.
Experience working with database applications.
Demonstrated skills in teamwork and collaboration.
Must be self-directed and able to work independently.
Proficiency with Microsoft Office (Word, Excel, PowerPoint).
Ability to operate basic office equipment (copier, postage, etc.).
High school diploma required (Bachelor’s degree or equivalent experience preferred).

AZA’s remote work policy allows for recurring remote work in coordination with supervisor. Full-time remote is not offered.
Relocation cost reimbursement is not available.
