In Spring 2027, the university will move into its home campus in the Saigon High Tech Park in Thu Duc City, Ho Chi Minh City in the heart of Vietnam’s emerging innovation ecosystem. Until campus construction is completed, we are located at Crescent Plaza, Tan Phu Ward, in Ho Chi Minh City (formerly District 7).

About the role

The Program Officer is responsible for supporting operations, managing budgets, and coordinating strategic initiatives for the AI Institute. The role acts as an administrative and communications bridge to optimize institutional resources through fundraising activities, talent acquisition (headhunting), and fostering academic-corporate partnerships. Additionally, this position directly enhances the public visibility of both the AI Institute and the Engineering major by organizing public events, managing digital media platforms, and supporting Engineering student clubs.

Roles and Responsibilities

The duties and responsibilities of the Program Officer are organized across 4 primary areas:

OPERATION & ADMINISTRATIVE SUPPORT:

Main responsibility: Ensuring a highly efficient administrative and operational foundation for the Institute.

  • Manage day-to-day office administration, track internal budget execution, and coordinate routine HR procedures for the Institute's personnel.
  • Organize, schedule, and document minutes for operational updates and technical research team meetings.
  • Assist with logistics, paperwork, and procurement processes for research equipment and software tools required by AI projects.

EVENTS, PUBLIC RELATIONS & COMMUNICATIONS

Main responsibility: Optimizing brand presence and driving public engagement.

  • Lead the organization of monthly scientific seminars for the AI Institute and public outreach events for the Engineering major.
  • Create, curate, and update high-quality digital content across social media channels to increase public visibility for both departments.
  • Develop promotional content, public relations materials, and admissions collaterals to support student recruitment and showcase Engineering student clubs.

TALENT ACQUISITION & FUNDRAISING SUPPORT

Main responsibility: Cultivating strong human capital and sustainable financial backing.

  • Conduct headhunting and talent mapping via professional associations, tech networks, and university/institutional partnerships to scout expert researchers.
  • Build institutional capability profiles and design compelling pitching materials to lock in sponsorship opportunities from corporations and venture funds.
  • Organize social impact events centered around AI applications to attract long-term philanthropic and corporate funding.

STRATEGIC INITIATIVE & ACADEMIC COORDINATION:

Main responsibility: Coordinating key strategic projects and supporting undergraduate academic life.

  • Act as the primary focal point to coordinate and monitor progress on strategic initiatives: AI for Education, AI kickoff trial, and AI policy research.
  • Partner closely with the Engineering major faculty to mentor, advise, and mobilize resources for Engineering student clubs and academic competitions.

Other duties:

Contributing to team effort by welcoming new and different work requirements; exploring new opportunities to enhance the services of the department; helping others accomplish related job results as and where needed; and perform other duties as assigned.

Education: Bachelor’s degree in a relevant field.

Knowledge, Skills and Abilities:

  • Project & Event Management: Proven ability to manage multi-stakeholder projects and execute professional events on time and within budget parameters.
  • Public Relations & Digital Marketing: Strong copywriting skills, social media management competence, brand stewardship, and a keen eye for public relations opportunities.
  • Networking & Pitching: Persuasive communication style with the ability to navigate diverse circles to build networks for talent sourcing and fundraising support.
  • Tech-savvy & Adaptability: Possess a foundational understanding of or sharp acumen for technology, AI, and Engineering concepts, with the ability to effectively translate specialized, technical content into engaging language for the general public.
  • Multi-tasking & Problem-solving: Demonstrate excellent time-management skills and the resilience to handle high-pressure, multi-tasking workloads across two distinct units (the AI Institute and the Engineering major).
  • English Proficiency: Highly proficient in written English for professional correspondence and document compilation, paired with an intermediate level of spoken English for daily communication.
