About the Role

As a Project Admin, you will play a key role in coordinating project documentation, monitoring outlet development progress, supporting contractor claims, and ensuring projects are delivered efficiently from planning to completion.
Key Responsibilities
- Coordinate and maintain project documentation, reports, and administrative records.
- Monitor project progress and provide timely status updates to the Project Manager and stakeholders.
- Prepare and submit project reports, proposals, and supporting documentation.
- Manage contractor and vendor claims, invoices, and payment documentation.
- Process Purchase Requisitions (PR), Purchase Orders (PO), petty cash, and project-related expenses.
- Coordinate applications and documentation for permits, utilities (TNB, Water), and statutory approvals.
- Update project progress and outlet development records in the project tracking system.
- Organize project meetings, prepare meeting minutes, and follow up on action items.
- Maintain proper filing of project documents for new outlet development and renovation projects.
- Liaise with internal departments, contractors, consultants, suppliers, and government authorities to ensure smooth project execution.
- Perform other administrative and coordination duties assigned by the Project Manager or Head of Department.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Project Management, Management, or a related field.
- Minimum 1–3 years of administrative or project coordination experience. Experience in the F&B, retail, construction, or property industry is an added advantage.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Strong organizational, documentation, and time management skills.
- Excellent communication and coordination skills.
- Able to manage multiple tasks and meet deadlines in a fast-paced environment.
- Detail-oriented, responsible, and able to work independently as well as in a team.
