As a Project Admin, you will play a key role in coordinating project documentation, monitoring outlet development progress, supporting contractor claims, and ensuring projects are delivered efficiently from planning to completion.

Key Responsibilities

  • Coordinate and maintain project documentation, reports, and administrative records.
  • Monitor project progress and provide timely status updates to the Project Manager and stakeholders.
  • Prepare and submit project reports, proposals, and supporting documentation.
  • Manage contractor and vendor claims, invoices, and payment documentation.
  • Process Purchase Requisitions (PR), Purchase Orders (PO), petty cash, and project-related expenses.
  • Coordinate applications and documentation for permits, utilities (TNB, Water), and statutory approvals.
  • Update project progress and outlet development records in the project tracking system.
  • Organize project meetings, prepare meeting minutes, and follow up on action items.
  • Maintain proper filing of project documents for new outlet development and renovation projects.
  • Liaise with internal departments, contractors, consultants, suppliers, and government authorities to ensure smooth project execution.
  • Perform other administrative and coordination duties assigned by the Project Manager or Head of Department.

Requirements

  • Diploma or Bachelor's Degree in Business Administration, Project Management, Management, or a related field.
  • Minimum 1–3 years of administrative or project coordination experience. Experience in the F&B, retail, construction, or property industry is an added advantage.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Strong organizational, documentation, and time management skills.
  • Excellent communication and coordination skills.
  • Able to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Detail-oriented, responsible, and able to work independently as well as in a team.
