Job Description
The Project Administrator will support a high‑tech operations team by accurately capturing, processing, and entering project documentation and data into internal systems. This role plays a critical part in keeping field and operations teams organized and informed, while providing professional customer service to internal stakeholders and customers in a fast‑paced, highly structured environment.
Responsibilities
- Support field and operations teams by collecting and intaking project documentation and data from the field.
- Operate scanners, printers, and digital tools to capture, organize, and upload project documentation into internal systems.
- Perform accurate and timely data entry into internal databases, spreadsheets, and tracking tools.
- Review incoming information and documentation for completeness, accuracy, and compliance with project requirements.
- Serve as a primary point of contact for field personnel and customers regarding documentation, data status, and basic administrative inquiries.
- Provide professional customer service when interfacing with clients and internal stakeholders, ensuring clear and timely communication.
- Maintain organized digital records and filing systems in accordance with company and project standards.
- Assist with general administrative tasks to support ongoing high‑tech project operations and field activities.
- Monitor documentation workflows and follow up with relevant parties to resolve missing or incomplete information.
- Adhere to site safety, confidentiality, and security requirements specific to the high‑tech semiconductor environment.
- Collaborate with team members to improve documentation processes and ensure consistent data quality.
- Manage multiple administrative priorities while maintaining a high level of accuracy and attention to detail.
Essential Skills
- Minimum of 3+ years of administrative experience in an administrative, clerical, or data entry role.
- Demonstrated experience performing accurate data entry and managing repetitive tasks with strong attention to detail.
- Strong proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Ability to operate scanners, printers, and basic office technology confidently and efficiently.
- High level of organization with the ability to manage multiple priorities in a structured environment.
- Strong customer service skills with a professional, customer‑focused demeanor.
- Effective verbal and written communication skills for interacting with field personnel, internal teams, and customers.
- Detail‑oriented and process‑driven approach to work, with a focus on data accuracy and compliance.
- Ability to work onsite in a high‑compliance, fast‑paced environment.
- Team‑oriented mindset with the ability to work independently when needed.
- Strong time‑management skills and the ability to meet deadlines consistently.
Additional Skills & Qualifications
- Experience supporting construction, manufacturing, semiconductor, or other high‑tech projects.
- Familiarity with construction administration, construction management, or project coordination processes.
- Experience with document control or project documentation systems.
- Prior experience working in secure or regulated environments such as fabrication facilities, data centers, or cleanrooms.
- Exposure to Tekla or similar steel construction software.
- Expereince in project administration or project coordination within technical or construction settings.
- Bilingual communication skills.
- Experience using Microsoft Office Suite to create, edit, and maintain project documents, spreadsheets, and reports.
- Administrative support experience in environments requiring strict compliance and documentation standards.
Work Environment
This is a full‑time, onsite role based in a project trailer located within a major semiconductor facility in Phoenix, Arizona. The schedule is Monday through Friday, 6:00 a.m. to 2:30 p.m., for approximately 40 hours per week, with limited potential for additional hours as needed. The work environment is fast‑paced, professional, and highly structured, with strict safety, confidentiality, and security requirements. You will work closely with field and operations teams in a high‑tech setting, using standard office technology such as computers, scanners, printers, and digital tools to manage documentation and data. The role requires consistent onsite presence and adherence to site protocols, including appropriate professional attire suitable for a high‑compliance project office within an industrial environment.
Job Type & Location
This is a Contract to Hire position based out of Phoenix, AZ.
Pay And Benefits
The pay range for this position is $27.00 – $43.00/hr.
