Summary:
Project Administrator is responsible for coordinating all phases of the construction job costing process that include categorizing, recording, monitoring, and progress billing for multiple projects
Produce job profitability reports, AR Reporting, Certified Payroll Reporting
Vendor compliance, subcontractor management, insurance, lien waivers and W-9
Detailed Tasks:
Set up project accounts in the accounting system to track financial transactions accurately.
Prepare submittals and keep track of approvals
Keep detailed records of project-related documents, including contracts, change orders, and other pertinent information.
Authorize the transfer of expenses into and out of project-related accounts as needed.
Review and approve supplier invoices related to projects, ensuring accuracy and compliance with purchase orders.
Review subcontractor labor bills for work related to projects to ensure accurate labor cost allocation.
Review and approve overhead charges applied to projects, ensuring correct allocation of costs.
Regularly review account totals related to project assets and expenses to maintain financial accuracy.
Investigate project variances and submit detailed variance reports to management, identifying and explaining discrepancies.
Collaborate with receivables staff to address unpaid contract billings and ensure timely collection.
Report on project profitability to management, highlighting financial performance and trends.
Identify and report any opportunities for additional billings to management, maximizing project revenue.
Provide management with reports regarding the remaining funding available for projects, ensuring informed decision-making.
Create or approve all project-related billings to customers, ensuring accuracy and timeliness.
Investigate all project expenses not billed to customers, ensuring all costs are accounted for and billed appropriately.
Respond promptly to customer requests for more detail, providing clear and accurate financial information.
Approve the write-off of any project-related billings that cannot be billed to or collected from customers, ensuring proper documentation.
Close out project accounts upon completion, ensuring all financial transactions are finalized and documented.
Prepare and submit government reports and tax returns related to projects, ensuring compliance with regulations.
Compile necessary information for internal and external auditors, providing accurate and comprehensive financial data as required.
Qualifications:
3 to 5 years of project accounting experience (commercial flooring industry is a plus)
Strong accounting knowledge, organizational and communication skills
Ability to prioritize and multitask
Maintain confidentiality and discretion
Proficiency in MS Word, Excel, Quick Books, Procore and Textura
Pay: $26.50 – $31.92 per hour
Expected hours: 10.0 – 20.0 per week
