Responsibilities
As a Project Administrator, you will provide day-to-day and specialized administrative support to Project Managers and Capital Construction Coordinators to help ensure the efficient delivery of projects. The role supports project operations through document preparation, financial and records administration, meeting coordination, process improvement, and onboarding support. Primary duties include:
- Prepare, format, proofread, and distribute project documents such as letters, memos, reports, charts, spreadsheets, presentations, and other administrative materials.
- Support Project Managers with financial administration, including invoice processing, tracking payment status, reconciling general ledger entries, and identifying discrepancies for follow-up.
- Draft and coordinate project-related forms and documentation, including procurement and transfer forms, and liaise with vendors and internal interest holders as required.
- Coordinate meetings and events by booking logistics, preparing agendas, recording minutes, and distributing follow-up information.
- Create and distribute project and business reports, maintain master project records, validate project information, and update shared resources such as Content Server, templates, and process documentation.
- Maintain project filing structures and records in accordance with records management guidelines, including file setup, retrieval, archiving, and storage.
- Contribute to monthly project status reports.
- Contribute to continuous improvement by maintaining tools and templates, troubleshooting issues, supporting users, and helping improve administrative and project workflows.
- Track safety documentation (orientations, toolbox talks, incident logs).
Qualifications
- A completed 1-year certificate in Business/Office Administration or related field and at least 5 years of related experience.
- Experience with financial and administrative processes, such as invoice processing, reconciliation, records maintenance, and report preparation, is required.
- Advanced proficiency in Microsoft Office Suite, particularly in Project, Word, Excel, Outlook, and PowerPoint, with the ability to prepare professional documents, spreadsheets, reports, and presentations is essential.
- Experience working in the construction industry, with the ability to understand complex project management processes, is preferred.
- Experience supporting project teams, Project Managers, or Coordinators in a construction, infrastructure, engineering, or similar project environment is an asset.
- Experience using document and records management systems, SharePoint, Content Server, People Soft, Business Objects, P2M or similar enterprise systems will be considered an asset.
- Demonstrated ability to support continuous improvement, troubleshoot administrative or process issues, and adapt quickly in a fast-paced team environment is preferred.
- The successful candidate will possess strong communication, proofreading, and relationship-building skills, with the ability to prepare accurate correspondence, meeting materials, and records, while working with a variety of internal and external parties.
