Description
Under the Operations Manager’s supervision, this project coordinator essentially prepares files to ensure the seamless creation of memoQ packages and project wrap-up tasks.
The coordinator will also, as required, ensure end-to-end tracking of translation projects in Flowfit, collaborate with internal clients to establish their translation needs, ensure quick, efficient, and error-free processing of requests, work closely with team leaders and the other coordinators to assign work in-house or to service providers, and offer excellent customer service.

Responsibilities
The Project Administrator will support other project coordinators according to ever-changing needs.
Prepare projects/documents for use in our CAT tool (memoQ).
Process translation, update, and approval requests made through the request management tool (Flowfit); assist requestors as needed.
Wrap up projects in Flowfit, align document pairs in memoQ as needed, and upload to translation memories.
Assess requests, ensure they contain all required information, and assign them to an internal team or a service provider according to workload, costs, budgets, and deadlines.
The Project Administrator will work with internal clients to establish their needs, manage their expectations, and inform them of SLA and costs (as applicable).
Act as a resource for internal clients and Translation Services team members with respect to project coordination, request processing, request management tools, and billing issues.
Execute process improvement projects; document and implement best practices.
Establish and develop solid relationships with the assigned translation team’s leader, business partners, service providers, and colleagues.
Coach internal team, service providers, and internal partners on using the request management tool (Flowfit), as needed.
Complete other tasks as requested.

Qualifications, requirements, and work experience
At least 2 years of project coordination/management experience in a structured translation environment
Work experience with Flowfit and memoQ or similar RMS and CAT tools.
Demonstrated customer service skills
Works to create a sense of teamwork, openness, and communication
Ability to work under pressure and with minimal supervision
Excellent organizational skills and attention to detail
Analytical skills: problem resolution, process improvement, etc.
Computer skills with the MS Office suite
Proficiency in French and English (written and oral)
University degree or diploma in translation or related field, a definite asset
