Project Coordinator

The Project Coordinator works under the supervision of the Operations Manager of Residential Construction to coordinate reconstruction projects for residential and commercial assignments. The role focuses on job production, emergency response, administrative compliance, and quality assurance while maintaining strong communication with clients, vendors, and internal teams.

Major Responsibilities

  • Collaborate with the Reconstruction Scheduling Desk and Project Management Administrators to ensure smooth project flow and accurate communication.
  • Facilitate the sign‑up, completion, and sign‑off of restoration projects with high customer service standards.
  • Review emergency and repair estimates, inspection reports, photographs, and notes to comprehend the scope of loss.
  • Ensure the accuracy of the scope of work by working closely with Project Managers and the project team.
  • Enter precise details into the company’s file‑management software, updating dates and other critical information.
  • Confirm job details with the Scheduling Desk or Project Manager, discussing scheduling notes, material selections, timing, or change orders.
  • Contact insured parties to schedule appointments, sign‑up jobs, and communicate empathetically to reinforce the company’s brand.
  • Attend the loss location, review and discuss the scope of work, capture photographs, record variances, and obtain necessary authorizations.
  • Provide material selection guidance and present revised or supplemental estimates to the insured, securing signatures on updated forms.
  • Collect payments for upgrades, additional work, deductibles, or taxes before work commencement.
  • Share contact information for the Project Manager and PMA with the insured or property owner.
  • Discuss safety, process, and scheduling expectations to align with client needs.
  • Return completed Authorization & Access forms and payments to the PMA.
  • Maintain regular communication with the insured, property owners, and insurance companies through the file‑management system and Xact Analysis notes.
  • Prepare comprehensive project schedules, revise them as needed, and identify scheduling issues, alerting relevant parties.
  • Update the job management report with progress details.
  • Issue purchase or work orders to sub‑trades or in‑house resources to meet scope and profitability.
  • Resolve production‑related concerns or sub‑trade complications promptly.
  • Issue trade warning notices or performance back‑charge letters when necessary.
  • Prepare and correct deficiency lists for the project.
  • Confirm completion dates, schedule, and conduct final sign‑off inspection meetings with the insured.
  • At the final site visit, verify completion satisfaction, photograph any variances, obtain signed certificates of satisfaction, and collect any outstanding payments.
  • Distribute warranty information and request endorsement of co‑payable checks if required.
  • Report internal concerns or negligence to the Operations Manager.

Key Attributes

  • Excellent communication and customer‑service skills.
  • High attention to detail in both functional and financial aspects.
  • Proficiency with Microsoft Office, Google Workspace, and standard technologies.
  • Familiarity with building envelope concepts and applicable building codes.
  • Knowledge of standard office equipment.
