Project Secretary
Duties and Responsibilities:
A Project Secretary  specifically supports a project manager and the project team, ensuring that project-related documentation and processes are well-organized.
Duties
may include:
Project Documentation Management:
Organizing and maintaining all project-related documents, including contracts, proposals, and meeting minutes.
Ensuring that project files are properly archived and accessible to the team.
Preparing and updating project schedules, timelines, and reports.
Handling authority submissions and follow-ups involves managing communications with various government and regulatory bodies, ensuring that all required documentation, approvals, and permits are obtained in a timely manner. This is a critical task in
project management
, particularly in fit-out/interior decoration.
Meeting Coordination
:
Scheduling project meetings and coordinating attendees.
Preparing agendas and distributing them before meetings.
Taking and distributing minutes during meetings.
Tracking follow-up actions and ensuring deadlines are met.
Communication
Support:
Acting as the main point of contact for project stakeholders (team members, clients, suppliers).Ensuring that
communication
flows smoothly between various parties involved in the project.
Handling queries, relaying information, and ensuring key details are passed on on time.
Project Coordination
:
Assisting the project manager with day-to-day administrative tasks related to the project.
Monitoring project progress and ensuring it aligns with the schedule.
Managing project databases, schedules, and calendars. Logistics and Travel Arrangements:
Coordinating travel, accommodations, and transportation for project teams if necessary.
Organizing project-related events, workshops, or site visits. Reporting & Tracking:
Preparing project status reports, progress reports, and other necessary documents.
Keeping track of project budgets and expenditures.
Ensuring compliance with project guidelines and deliverables. Support with
Risk Management:
Assisting with tracking project risks, issues, and mitigation plans.
Ensuring that necessary risk management documentation is
up-to-date
. Client and Supplier Coordination:
Interacting with clients, suppliers, and stakeholders to ensure smooth project execution.
Handling contracts and purchase orders related to the project.
Following up on project deliverables and payments. Â Job Type: Â Full-time Pay: Â AED3,000.00 – AED4,000.00 per month
Education:
Diploma (Preferred)
Experience:
