Overview

Publishing Ireland is seeking a highly organised and proactive freelance contractor to provide comprehensive administrative consultancy services. This is a fixed-term independent contract for six months to cover the absence of the current contractor.

Note on Status: The successful candidate will operate as an independent service provider and will be responsible for their own tax, PRSI, and insurance contributions within the Republic of Ireland.

Key Responsibilities

  1. Governance & Day-to-Day Management
  • Organising, attending, and recording minutes for Board Meetings.
  • Managing procedural requirements for the Annual General Meeting (AGM) and liaising with auditors.
  • Liaising monthly with the Finance Committee and the Events and Training Committee.
  1. Financial Administration
  • Overseeing bookkeeping tasks undertaken by an outsourced professional, including invoicing members and processing payments.
  • Pursuing funding and sponsorship opportunities in collaboration with the Board.
  1. Member Services & Representation
  • Acting as the primary point of contact for members, responding to enquiries via email and telephone, and representing the organisation at face-to-face events.
  1. Events & Programme Management
  • Creating and executing an annual plan for training sessions and trade events (e.g., Trade Day).
  • Managing all event logistics: speaker booking and negotiation, venue management, budgeting, and delegate management.
  • Hosting events on the day, whether virtually or in person.
  • Liaising with industry partners, including Bookselling Ireland and the Dublin Book Festival.
  1. Digital Marketing & Communications
  • Managing the organisation’s website, social media accounts, and monthly newsletter.
  • Overseeing the digital plan for the “Books From Ireland” microsite and its promotion.
  • Supervising the part-time Assistant Digital & Marketing Administrator.

Contractual Terms

  • Status: Independent Freelance Contractor (Self-Employed/Sole Trader or Limited Company). The contractor is responsible for their own tax affairs (Revenue Ireland).
  • Work Commitment: Equivalent of 2.5 days per week, primarily across Tuesday, Wednesday, and Thursday.
  • Duration: Six months (fixed-term consultancy) with a possible extension to eight months.
  • Remuneration: €2,000 per month (inclusive of VAT if applicable), payable monthly in arrears upon receipt of a valid professional invoice.
  • Location: Primarily remote/home-based, with a requirement to attend specific meetings and events in Ireland as scheduled.
  • Notice Period: Two months’ written notice by either party.
  • Expenses: Reimbursement for pre-approved, vouched travel, accommodation, and subsistence expenses.

Requirements

  • Proven experience in administrative consultancy or senior-level freelance management.
  • In-depth knowledge of the Arts sector and the Irish publishing industry.
  • High level of professional skill and the ability to deliver services to the highest standard without direct daily supervision.
  • Flexibility to manage variable hours, particularly in the lead-up to and during major events.
