JOB SUMMARY: The Cook County Public Guardian’s Adult Guardianship Division serves as the court-appointed guardian for adults adjudicated as persons with disabilities by a judge in the Probate Division of the Circuit Court of Cook County. Attorneys in the Domestic Relations Division provide legal representation for children whose parents are involved in contested custody or visitation disputes. The Office of the Public Guardian Receptionist manages the office lobby area, receives and transmits telephone calls, greets visitors, responds to general inquires, manages on-call schedule, completes documentation and distributes mail and/ or packages received at the front desk.

Qualifications:

1. High School Diploma or GED certification required.

2. Must have at least one year of experience managing a multi-line phone.

3. Must have excellent telephone, communication, professional, problem-solving and interpersonal skills.

4. Must be well organized, detail oriented, and have the ability to handle multiple tasks in a fast-paced environment.

5. Must maintain a professional demeanor at all times. Must be able to work independently and as part of a team to meet constant deadlines.

6. Must possess strong computer skills for data entry.

Essential Duties and Responsibilities:

The following core duties are fundamental to the performance of the job. Other duties may be assigned and/or may be necessary in the performance of the job.

1. Answer, screen, and direct calls to appropriate staff member in a timely manner.

2. Record and forward messages as needed.

3. Handle emergency calls and directory assistance queries.

4. Prepare and email approved weekly on-call roster to the answering service.

5. Distribute on-call messages received from answering service to office staff on a daily basis in a timely manner.

6. Greet and direct visitors, and provide assistance as needed.

7. Maintain the office on-line visitor calendar.

8. Maintain sign-in visitors log in reception area.

9. Maintain daily visitor lists and email and/or fax information to appropriate building personnel.

10. Stamp and distribute packages and/or all mail in-going or out-going at the front desk.

11. Provide backup assistance within the office as needed.

12. Obtain service for personal courier and maintain records.

13. Retrieve data from Panoramic system and AS400 as needed.

14. Conduct quality control of documents as needed.

15. Provide training for switchboard relief coverage.

16. Complete special projects as assigned.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

· On a continuous basis, sit at a desk for long periods of time in front of a computer screen;

· Intermittently twist to reach equipment or supplies surrounding desk;

· Perform simple grasping and fine manipulation;

· Strength to lift files weighing up to 20 pounds;

· Use telephone and computer keyboard on a daily basis.
