ESSENTIAL FUNCTIONS:

Reports to the Director of Administrative Affairs. Accesses and operates telephone/switchboard at the Northside campus. Greets youth and visitors and refers them to the appropriate person with continuous awareness of maintaining agency vision and mission. Requires a basic understanding of the youth/customers served by Lawrence Hall and participates in agency trauma training with the ability to utilize that training when interacting with youth/customers of the agency. Communicates verbally, and in writing, relaying information to callers or visitors. Receives and distributes in-coming mail or packages weighing a maximum of 25lbs. Files documents in cabinets and/or binders as needed.

JOB RESPONSIBILITIES:

Handle reception duties on a full-time basis
Greets youth/visitors/callers, handles their inquiries, and directs them to the appropriate persons according to their needs in a swift, courteous, and professional manner
Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals
Maintains the professional, clean, organized, and sanitary presentation of the reception area.
Maintains confidentiality of employees, volunteers, and program participants to provide a safe environment
Completes forms in accordance with agency procedures and ensure that reception forms be updated and organized in the reception area.
Sorts and distributes incoming mail, processes outgoing mail, keeps mail distribution list updates
Arranges for proper placement of deliveries and assists with outgoing deliveries
Initiates and manages office supply ordering for Administration, with supervisory approval.
Maintains and organizes supplies in shared copy and mail rooms on first and second floor of Administration Building.
May be required to lift a maximum of 25 lbs. of various delivered office supplies and distribute
Learns to operate new office technologies as they are developed and implemented
Assisting employees in troubleshooting office equipment problems as they arise with professionalism and patience
Attends assigned program team meetings
Attend at least two trainings related to being trauma informed in a twelve-month period
Attends and maintains required agency trainings including CPR/First Aid, Therapeutic Crisis Intervention (TCI) without restraint.
Provides administrative support services to meet department needs
Provides periodic back up coverage for program secretary as needed.
Demonstrates a commitment to continuous quality improvement in all aspects of the position
Ability to work effectively with young people and family members, employees, and vendors in a culturally diverse environment to support healing and recovery
Uses active and reflective listening skills and affirmations to demonstrate respect and empathy, avoiding negative and derogatory labels that foster disrespect
Understand that behaviors, responses, attitudes, and emotions are a collection of survival skills often developed in response to traumatic experiences
Other duties as assigned

QUALIFICATIONS:

Requires a high school diploma or the equivalent, plus accurate filing and typing
Prefers at least six months employment experience, prior customer service experience
Demonstrate computer proficiency according to needs of the position
Pleasant telephone manner and good communication skills
Ability to pass standard agency clerical tests
Ability to pass background and drug screening

This position meets the FLSA requirements for Non-Exempt.
