Full Job Description
CAIR San Francisco Bay Area is hiring a full-time Receptionist who will serve as the first point of contact at our Santa Clara office and provide essential administrative support across departments. This role is critical to ensuring smooth daily operations and fostering a welcome, professional environment for clients, staff, and visitors.
Title: Receptionist
Schedule Type: Full-time (Non-Exempt). Occasional evenings and weekends required.
Location: Based in CAIR’s Santa Clara office. CAIR staff are currently working a hybrid schedule, with three days in-person and two days remote.
Requirements: Ability to travel throughout the Bay Area (vehicle and driver’s license required); authorization to work in the United States.
Reporting Relationships: Reports to the Operations Manager.
Job Term: This is a one-year position with the possibility of renewal based on performance and funding.
About the Role: The Receptionist supports CAIR-SFBA’s day-to-day operations by managing front desk responsibilities, fielding inquiries, coordinating appointments, and assisting with administrative tasks. The ideal candidate is organized, reliable, warm, and thrives in a fast-paced nonprofit setting.
Duties & Responsibilities:
Welcome and assist visitors, answer and direct phone calls and emails
Manage shared inboxes and voicemails, routing messages to appropriate staff
Receive and distribute incoming mail and deliveries
Support data entry, document preparation, and filing
Maintain office supplies and track inventory
Assist with meeting and event logistics, including setup and cleanup
Provide general administrative support (printing, scanning, copying, etc.)
Support onboarding of new staff and volunteers, including participating in screening interviews and onboarding
Ensure reception area and shared office spaces remain clean, organized, and aligned with office protocols
All CAIR staff are required to assist in general duties such as answering phones, weekly outreach, and other office tasks.

Consistent punctuality and reliability
Friendly, professional demeanor with strong interpersonal skills
Effective verbal and written communication
Discretion and professionalism in handling confidential matters
Ability to work in a fast-paced, multicultural environment
Proficiency with MS Office, Outlook, and general office equipment
Willingness to take initiative and work independently when needed
Preferred Qualifications:
Prior experience as a receptionist, administrative assistant, or in a customer service role
Familiarity with Arab, Muslim, Middle Eastern, and/or South Asian communities
Proficiency in a second language such as Arabic, Farsi/Dari, Urdu, or Spanish
Experience working in a nonprofit or other community based organization
Compensation:
Compensation in the range of $28.80 – $30.59 per hour commensurate with experience
Fully paid Kaiser Health Insurance and Blue Cross PPO Dental Plan for employee and dependents
