Position: Receptionist cum Admin Assistant
Responsibilities: Â Check, administer, and purchase office requirements (office stationary, printer supplies, computers/laptops, groceries, water, etc.). Coordinate and process all gate and vehicle pass requests for each respective project site for staff, suppliers, and subcontractors. Supervise all company vehicle renewals and rent a car for office/site staff as required. Prepare all undertaking letters for HSE/Main contractor/client as required. Prepare office internal memos and letter correspondence as per instructions.
Arrange/request staff business cards from suppliers. Check/pay online the recharge Salik company account. Check and submit all utility bills (Dewa, Du, Etisalat) to the Finance Manager before payment. Arrange/order food for staff as per instructions. Arrange meetings and appointment schedules for GM as per instructions. Post job descriptions on job sites and schedule applicants’ interviews as per HR Manager/GM instructions.
Coordinate with IT on all related staff concerns with emails, internet/printer/server connections, Microsoft 365 accounts, and Antivirus. Coordinate company website updates with IT. Coordinate the yearly renewal of PO Box, vehicle license RTA Mulkiya, establishment card, and medical/ILOE insurance. Maintain and update all company subscription usernames and passwords (GoDaddy emails, Azure server, website, computers/laptops, Drive7 vehicle apps). Assist the Project Manager, Finance/HR Manager, and General Manager.
Be assigned to other admin/accounts tasks as required and coordinate/attend with each team related to admin requirements. Preferred applicants from the Philippines who can join ASAP. Salary will be discussed upon final interview. Â Accounts Related Work (Report to Finance Manager): Â Summarize and prepare office staff and site staff monthly timekeeping for WPS. Prepare monthly site overtime reports if any. Check and prepare monthly reports for all site projects reimbursement material expenses, monthly staff petrol, and weekly food.
Handle petty cash funds as per instructions. Coordinate/request vendor/supplier – Tax Invoice, Delivery Note, Receipts. Reconcile vendor/supplier statement of account and tax invoice against approved LPOs. Assist with VAT-related reports to the Finance Manager. Prepare/Reconcile reports of all outside manpower timesheets vs. site supervisor approved timekeeping attendance.
