We are a busy and growing financial services firm located in North Scottsdale, dedicated to providing high-touch, professional service to our clients. Our office environment is polished, welcoming, and relationship focused. We are seeking a dependable, detail-oriented Receptionist/Administrative Assistant to be the first point of contact for our clients and to support day-to-day office operations. This role is ideal for someone with extensive prior office or administrative experience who enjoys a steady, professional environment and takes pride in keeping things organized, calm, and running smoothly.

 POSITION OVERVIEW 

The Receptionist/Administrative Assistant plays a key role in creating a positive client experience while supporting the internal team with clerical and administrative tasks. This position requires professionalism, reliability, and strong organizational skills.

 KEY RESPONSIBILITIES 

Front Desk and Client Experience

•   Greet clients and visitors warmly and professionally

•   Answer and route incoming phone calls

•   Manage scheduling and assist with appointment coordination

•   Maintain a clean, organized, and client-ready reception area

Administrative and Clerical Support

•   Perform general clerical duties such as filing, scanning, copying, and data entry

•   Maintain and update internal databases and client records

•   Assist with document preparation and organization

•   Support team members with administrative tasks as needed

Office Operations

•   Order, track, and maintain office supplies

•   Coordinate with vendors and service providers when necessary

•   Monitor office inventory and ensure supplies are stocked

•   Help ensure the office runs efficiently and professionally at all times

Qualifications

•   Minimum 3 years of experience in an office, administrative, or receptionist role

•   Strong organizational skills and exceptional attention to detail

•   Professional demeanor with excellent phone and interpersonal skills

•   Comfortable using computers, email, and basic office software

•   Reliable, punctual, and able to manage routine tasks independently

•   Competitive starting salary of $38,000 – $56,000 depending on experience

•   We recognize and reward reliability and strong performance. Compensation reviews begin at the six-month mark, with continued increases tied to performance, tenure, and the growth of the firm
