The Illinois Association of School Administrators (IASA) seeks a personable, initiative-taking, and multi-faceted individual to join our high-performing team. This is a dynamic role for someone who is organized, detail-oriented, and able to manage multiple tasks simultaneously across several departments.

Primary Responsibilities

Front Desk & Reception

  • Serve as the first point of contact by greeting visitors and guests in a friendly and professional manner
  • Answer incoming phone calls, screen and route calls to appropriate staff members, and take messages as needed

Illinois Education Job Bank

  • Maintain all records for the IASA Illinois Education Job Bank, including processing subscriptions and updating records
  • Prepare and process invoices and payments
  • Perform data input and filing
  • Respond to employer and job seeker inquiries via phone and email

Professional Development Support

  • Assist with entering weekly payments and recording payments on revenue/expense forms
  • Assist with filing and invoicing
  • Assist with catering for events
  • Assist with the IASA Annual Conference, including preparing conference packets and merging name tags and labels
  • Set up the IASA training room for events and dismantle food stations following meetings

General Office Duties

  • Maintain "dual control" records for accounts receivable
  • Schedule maintenance of IASA vehicles
  • Assist with mailings to new superintendents
  • Maintain records for SB7 subscriptions and generate and process related invoices and payments
  • Monitor and maintain the kitchen area, ensuring it is tidy and stocked with beverages
  • Assist with general office duties and special projects as assigned by the Director of Operations and Facilities

Qualifications

  • Ability to prioritize a high volume of work across multiple departments according to organizational demands
  • Ability to meet deadlines both independently and as part of a team
  • Commitment to confidentiality, flexibility, accountability, and professionalism
  • Excellent organizational, customer service, and problem-solving skills
  • The standard workday is Monday through Friday, 8:00 am to 4:30 pm. A few times a year, hours may be adjusted to 7:00 am to 3:30 pm to accommodate early morning meetings. Advance notice will be provided when these changes occur.
