Remote Medical Receptionist (Virtual Patient Support Coordinator) (Primary Care Practice):

Job Summary
We are seeking an experienced Virtual Medical Receptionist to join our front-office team and be the first point of contact for our patients. In this full-time remote role, you will handle incoming calls and messages, coordinate schedules across our clinics, and ensure patients receive timely, courteous support. You will work closely with on-site staff through our Athenahealth electronic medical record (EMR) system to facilitate smooth communication and team-based patient care. This position is vital to our mission – by managing appointments, registration, and inquiries, you will help create a positive patient experience from the very first interaction. Duties

Patient Communication: Greet patients and schedule appointments by phone and text, providing a warm, professional first impression.

New Patient Onboarding: Initiate the registration process for new patients, gathering preliminary information to streamline their first visit.

EMR Coordination: Communicate with in-clinic office staff via the Athenahealth EMR system to relay messages and update patient information.

Case Management: Create and assign patient cases in the EMR for prescription refills, specialist referrals, and patient questions, ensuring follow-up by the appropriate team member.

Call Triage: Triage and route non-patient calls (e.g. vendors or general inquiries) to the correct contact or clinic location, so issues are addressed promptly by the right person.

Text Message Inquiries: Monitor and respond to patient questions through our Klara secure texting platform, maintaining a helpful and responsive dialogue with patients between visits.

Requirements

Healthcare Front Desk Experience: Minimum 3+ year of experience in a medical front-desk, clinic call center, or similar patient-facing role. Experience in primary care or specialty clinics is a plus.

EMR Proficiency:Athenahealth EMR experience is a must.

Communication Skills: Exceptional phone etiquette and written communication skills. You are courteous, empathetic, and able to put anxious patients at ease while efficiently gathering information.

Organizational Skills: Strong multitasking and organizational abilities. You can handle scheduling, messages, and documentation with attention to detail, even in a busy environment.

Tech Savvy: Comfortable with technology and remote-work tools. Experience with VoIP phone systems (e.g., GoToConnect) and secure texting platforms (e.g., Klara) is needed. Proficiency in basic computer applications and the ability to troubleshoot minor tech issues independently.

Education: High school diploma or equivalent required. Additional coursework or certification in medical office administration, healthcare customer service, or related field is advantageous.

Work Authorization: Must be located in the U.S. and legally authorized to work in the United States (we are unable to hire internationally for this role).
