Municipal Marking Distributors Inc. (MMD) was launched in 1981 from the basement of our owner, Kathryn Gordon, as a mail-order business selling supplies to local municipalities. Within a few years – after realizing a demand for survey lath and other supplies – the company tapped into the land surveying market, and their signature oak lath and stake products were born. The business expanded quickly, and by 1987 MMD moved to a building in Gilberts, IL, with a sharp focus on developing and maintaining close customer relations. In 2023 the company expanded again and moved to Elburn, Illinois.
MMD serves land surveyors, road builders & excavators, pipeline & other underground contractors, and utility and locating companies. We maintain over 11,000 square feet of office and warehouse space.
Job Overview
MMD is seeking a highly organized and proactive Resource Manager to serve as the company’s central knowledge hub. This individual will play a critical role in managing administrative operations, allocating company resources effectively, and ensuring day-to-day processes run smoothly. The Resource Manager will act as a go-to support person for team members, customers, and vendors—delivering exceptional service while upholding the values and mission of MMD.
Essential Duties and Responsibilities:
The essentials functions include, but are not limited to the following:
Act as the central knowledge hub for the organization, ensuring company-wide information is organized, accessible, and consistently updated.
Oversee and streamline daily administrative operations, including office workflows, documentation, scheduling, and internal communications.
Manage the allocation of company resources—staff, equipment, and time—to support project timelines and long-term business objectives.
Develop, document, and maintain Standard Operating Procedures (SOPs) across departments to drive consistency, efficiency, and clarity in day-to-day operations.
Design and lead internal training programs that educate staff on product knowledge, systems, processes, and MMD’s company values, promoting a unified and informed workforce.
Work closely with Human Resources as a liaison to support onboarding, training, resource planning, and communication of company policies and culture initiatives.
Foster effective interdepartmental communication, ensuring that resource needs and updates are coordinated smoothly across teams.
Provide light front-facing customer service, including greeting visitors onsite, answering incoming phone calls, and directing inquiries to the appropriate team members.
Deliver responsive, solution-oriented service to internal staff, customers, and vendors, always maintaining professionalism and a positive attitude.
Maintain and manage a centralized system for knowledge management, including records, process documentation, vendor details, and internal reference materials.
Evaluate and improve administrative systems and workflows on an ongoing basis to support scalability and operational excellence.
Champion MMD’s values and workplace culture, setting an example through respectful communication, professionalism, and integrity.
Minimum Qualifications:
5+ years of experience in resource management, office administration, operations support, or a related role.
Strong organizational and time-management skills, with the ability to manage multiple priorities and projects simultaneously.
Excellent written and verbal communication skills, with a professional and approachable demeanor.
Demonstrated experience creating and managing documentation, including Standard Operating Procedures (SOPs) and training materials.
Customer service mindset, with the ability to communicate effectively with coworkers, clients, and vendors.
Proficiency with office software, including Microsoft Office Suite (Word, Excel), and familiarity with project or resource management tools (e.g., Google Workspace Knowledge Owl, Monday.com).
Comfortable answering phones, greeting customers onsite, and representing the company with professionalism.
Ability to work independently and collaboratively, maintaining a positive and solutions-oriented attitude.
High level of integrity, discretion, and commitment to upholding company values and confidentiality.
Preferred Qualifications
Experience working closely with Human Resources or supporting HR-related processes such as onboarding and internal communication.
Background in designing or facilitating internal training programs, especially related to product knowledge or company values.
Familiarity with CRM, ERP, or project/resource management platforms (e.g., Salesforce, Monday.com, Asana).
Knowledge of basic business operations and cross-functional resource coordination.
Previous experience in a customer-facing role within a service-oriented or operations-heavy environment.
Industry knowledge relevant to MMD’s field (insert specific industry, if applicable).

Machinery operation requires the use of safety equipment to include but not limited to, eye safety glasses, hearing protectors, work boots, and hardhats. Loose-fitting clothes and jewelry are not permitted. The noise level in the work environment is usually moderate.

FLSA Status: Exempt, Full time, 40-hour work week
Business hours are 7:00 am – 4:00 pm / Monday – Friday
PTO eligible: 20 PTO days + 1 birth date + 1 anniversary date (upon probation completion)
