Major Tasks Purpose
The Sales Admin and Assistant provide comprehensive business and administrative support to the Sales and Country Head in Thailand.
- Operating under a flat DSO structure, the role ensures seamless coordination, reporting, and documentation for Thailand.
- This includes managing daily operational processes such as tender preparation and submission, quotation preparation, and marketing processes.
- Provides comprehensive administrative support to executives, ensuring confidentiality and professionalism.
- Manage calendars, schedule meetings, and organize travel arrangements.
- Prepares correspondence, reports, and presentations using various business software. Edits, proofs, and formats documents as needed.
- Screens calls and messages, managing interactions with internal and external sources.
- Maintains files and records, ensuring efficient organization.
- Assists in developing secretarial standards and practices for the organization.
- Handles confidential business and personnel information with discretion.
Teams Key Tasks
- Sales Operations & Business Support Prepare quotations, raise customer order processing with DKSH, support tender documents, and internal approval forms. Track order status, timely delivery shipment, assist in compiling reports and dashboards for monthly business review.
- Provides comprehensive administrative support to Country Head.
- Ensuring confidentiality and professionalism.
- Manage calendars, schedule meetings, and organize travel arrangements.
- Prepares correspondence, reports, and presentations using various business software.
- Support internal approval workflows (Salesforce event) and compliance documentation for audit.
Key Working Relation
Reports to: Country Head, North ASEAN/Thailand.
Internal Stakeholders (DSO model) Key Account Managers and Key Account Specialists Product Marketing Manager Finance, Legal, and Compliance Teams.
External: Business partners Academic/society collaborators Third Party Supplier/Vendor.
Skills & Qualifications
- Education & Experience Diploma or bachelor’s degree in business administration, Marketing, or Biomedical-related field.
- 3–5 years of experience in commercial operations, business administration, ideally within healthcare or medical device industry.
- Hands-on experience with CRM (Salesforce), or SharePoint preferred.
- Experience handling quotation workflows, marketing logistics, and documentation compliance.
- Competencies Proficient in English spoken & written.
- Highly organized, detail-oriented, and process-driven.
- Excellent coordination and communication skills across teams and markets.
- Proficient in Microsoft Office Suite (Excel, PowerPoint) and digital collaboration tools.
- Able to prioritize multiple requests under tight timelines.
- Self-motivated, accountable, and collaborative under a flat DSO structure.
- Strong governance mindset.
