Role Overview

The Sales Administration Executive plays a critical role in supporting HCCs and Nutritionists by ensuring smooth sales documentation, accurate reporting, appointment coordination, and operational readiness. This role requires strong administrative skills, attention to detail, and the ability to work closely with multiple departments to maintain efficiency and service excellence.

Key Responsibilities

1. Sales Administration & Documentation

  • Prepare, process, and verify sales documentation, invoices, and related paperwork
  • Ensure accuracy and completeness of sales records and supporting documents
  • Monitor and follow up on sales memos and outstanding documentation
  • Maintain proper filing and documentation systems (physical and digital)

2. Reporting & Sales Monitoring

  • Compile and analyze daily, weekly, monthly, and yearly sales reports
  • Compare sales performance trends and highlight discrepancies or variances
  • Assist in preparing management reports and performance summaries
  • Support KPI tracking and sales performance monitoring

3. Scheduling & Coordination

  • Manage appointment scheduling for HCCs and Nutritionists
  • Coordinate booking arrangements with internal departments
  • Ensure smooth communication between sales, operations, and customer service teams
  • Monitor schedule conflicts and optimize appointment slots

4. Customer & Operational Support

  • Provide frontline customer service support when required
  • Assist in handling customer inquiries related to appointments or documentation
  • Ensure outlet environment is clean, organized, and professional at all times
  • Ensure operational readiness before business hours (documents, materials, system readiness)

5. Compliance & Process Improvement

  • Ensure sales processes comply with company SOPs and policies
  • Assist in reviewing and improving sales administrative procedures
  • Support audit documentation and internal compliance checks

Who We Are Looking For

Education

  • Diploma and above in Business Administration, Sales, or related field

Experience

  • Minimum 2–3 years experience in sales administration, retail support, or customer service
  • Experience handling reports and performance data preferred
  • Experience in healthcare, wellness, or retail environment is an advantage

Technical Skills

  • Proficient in Microsoft Excel and reporting tools
  • Familiar with CRM, POS, or sales tracking systems
  • Strong documentation and data management skills
