We are presently accepting resumes for a full time Scheduling Coordinator to work in our Accommodations program, located in Barrie and Orillia. This is a contract position working up to 37.5 hours per week until December 31st, 2024.
Responsibilities
- Support the Accommodations department in covering vacant shifts that occur on a daily basis and complete administrative duties to support shift coverage and the program.
- Review each group living and supported independent living location daily to ensure adequate staffing to meet program needs.
- Coordinate and cover all shifts within the Accommodations program arising from absences such as sick calls, emergency leaves, leaves of absence, weather, etc.
- Liaise with Accommodations Supports and Services Supervisors, Scheduling and outside placement agencies to fill shifts; notify appropriate supervisors to ensure employees are properly remunerated.
- Maintain a tracking system showing which staff have accepted or declined replacement shifts.
- Coordinate daily activities of the Scheduling Office: classify scheduling emails, answer scheduling phone inquiries, and input non-union scheduling changes (e.g., last minute absences, flex time, sick time).
- Process and advise supervisors/managers and staff by e-mail of changes in a non-union database; enter mandatory training and orientation for all new hires; assist with postings for Accommodation Services.
- Allocate shifts in accordance with CBAs, the Occupational Health and Safety Act, and the Employment Standards Act; ensure third-party staff are booked and scheduled, with appropriate parties advised of shift coverage.
- Develop and maintain a list of available, trained staff by location, including contact information, status, qualifications, and availability, in collaboration with Scheduling Supervisors and Supports and Services Supervisors.
- Review time-off requests to ensure requested time is available in time banks before forwarding to Scheduling and Operations Supervisor (vacation, comp time, stat time, etc.).
- Perform other duties as required by the Scheduling Supports & Services Manager.
Qualifications
- Minimum Requirements:
Post-secondary degree or diploma in Business Administration, Human Resources, or a related field; or a combination of education and experience providing the required knowledge, skills, and abilities.
- A minimum of three years of recent full-time experience in administration or human resources with emphasis on using a computerized scheduling system; experience in a unionized environment is an asset.
- Demonstrated excellent written, verbal, and interpersonal communication skills with ability to collaborate; strong attention to detail, organizational and time-management skills; ability to work under pressure and meet deadlines.
- Advanced computer skills, specifically scheduling software, Word, and Excel; working knowledge of the Employment Standards Act and Occupational Health and Safety Act and ability to apply regulations to scheduling.
- Background in supporting individuals with intellectual disabilities is an asset.
Special factors
- Ability to interpret two collective agreements and apply them, along with employment legislation and scheduling principles, to ensure appropriate scheduling.
- Must be available to work between 7:00 am and 5:00 pm; a valid G-class driver s license and reliable transportation are required.
- From time to time, must be available for shifts outside of normal hours; motivated to stay current on technology, government legislation, collective agreements, and agency standards of practice.
