Role Overview:

The Scheduling Coordinator manages logistics for staging, design, and event rentals—ensuring efficient team scheduling, timely installations, and smooth coordination with clients. Proficiency in Google Calendar, Airtable, WhatsApp, and QuickBooks is essential for handling appointments, dispatching teams, and processing payments. Strong organizational skills and attention to detail are key.

Key Responsibilities:

Manage daily and weekly logistics for staging, design, and event rental operations

Create and maintain optimized schedules for teams, ensuring timely installations and removals

Coordinate with clients, vendors, and internal teams to confirm project timelines and details

Dispatch drivers and movers using scheduling tools and real-time communication platforms

Handle last-minute scheduling changes and conflicts efficiently

Use Google Calendar and Airtable to track and manage appointments

Communicate effectively via WhatsApp to ensure smooth field operations

Process payments and maintain accurate financial records using QuickBooks

Ensure high standards of organization, accuracy, and client satisfaction in all tasks

Qualifications:

Experience in scheduling, dispatching, or administrative coordination (event planning, logistics, or related field preferred)

Excellent organizational and time management skills

Solution-oriented with strong communication and interpersonal skills

Proficiency in scheduling tools, Google Workspace and Airtable is a plus; the ability to learn new technology, systems and follow proper processes is a must

Ability to multitask and prioritize in a fast-paced environment

Familiarity with home staging, furniture rentals, or event services is a plus

Schedule:

Monday to Friday, 10pm to 7am PHT
