Job Description:

  • Travel Organize (travel plan, travel report, update travel cost – ticket & hotel)
  • Handling correspondence, maintaining diaries, and arranging appointments
  • Logging or processing bills or expenses
  • Organizing and servicing meetings (producing agendas and taking minutes)
  • Procurement administration in terms of supplier registration.
  • Support, organize & record, make sure Monthly Business Review (MBR) are taking place at the agreed schedule pre-determined by the procurement manager and the vendors
  • In-charge of the proper filing and maintenance of the rates
  • Ensure all SOPs, forms and documents from vendor and required approval are in place in order of execution
  • Handling vendors from their databases to liaising with their relevant organizations

Requirements:

  • Minimal Diploma or Bachelor's degree from recognized university
  • Fresh graduate or minimum 1-2 years of experience in a similar secretarial or administrative role
  • Familiar with International Freight Forwarding industry/sector
  • Proficiency in Microsoft Excel (advanced level)
  • Ability to create effective PowerPoint presentations alongside excellent presentation skills
  • Strong administrative skills with attention to detail and ability to work efficiently with paperwork
  • Strong organizational and time management skills
  • Ability to multitask and prioritize tasks effectively
