About the People & Diversity Team
The People & Diversity (P&D) team leads engagement to attract, retain, reward and ensure equity, wellbeing, and development for our greatest asset, our people. Critical to the progress of Ceres’ mission, this team leads initiatives to curate a culture of inclusion and belonging while diligently attending to the workforce needs of Ceres.

About the Role
The Senior Associate will support key projects and processes across the People & Diversity team and will provide some administrative support to the Chief People and Diversity Officer (CPDO). The Senior Associate’s work will be related to Ceres’ learning, metrics and reporting, culture, employee engagement, communication, inclusion and accessibility, and talent acquisition. This role offers an opportunity for an organized, team-oriented, problem-solving, and trustworthy individual interested in human resources to gain entry-level generalist experience.
This role reports to the Director, Learning and Employee Experience (LEE) and can be performed from the Boston, MA office or remotely (commutable distance from Boston, MA required). Candidates must be flexible to work with employees in all US time zones.
Specific duties include but are not limited to the following:
Learning, Engagement, and People Experience
Support all internal learning programs by overseeing enrollment management functions, such as course scheduling, enrollment monitoring, course completion tracking, sending routine enrollment communications, establishing listservs, and assigning courses in our LMS, Rise.
Completing administrative tasks relevant to onboarding and offboarding, such as submitting relevant IT tickets, completing 90-day Best Self Review (BSR) setup, managing access for new employees across multiple platforms, and scheduling and conducting exit interviews.
Support orientation activities including monitoring orientation emails, sending welcome and orientation emails, scheduling and facilitating established orientation sessions, enrolling new hires in required training, and tracking training completion for new managers and employees.
Scheduling various employee lifecycle events throughout the year including required annual trainings, onboarding check-ins, exit interviews, etc.

General P&D and CPDO Support
Routine data entry, compile and organize data, and complete reporting in and with support of CPDO and other leaders on P&D team.
Track progress on key P&D cross cutting initiatives, updating milestones, deadlines, and deliverables for (examples are annual planning, system implementations, open enrollment, performance review cycles, organizational structural changes, and other initiatives or projects) with regular reporting to CPDO.
Planning and coordination of key communication efforts across multiple information channels and internal meetings with CPDO content review and approval.
With direction from CPDO, schedule and manage agendas for monthly team meetings, organize occasional team retreats or events, and calendarize team annual processes and events such as benefits open enrollment and semi-annual review processes.
Provide supplemental calendar support to the Chief People & Diversity Officer, ensuring priority meetings are scheduled and helping to optimize calendar management.
Manage and update team and organization-wide events hosted by P&D such as weekly all-staff learning opportunities, meet and greets for new employees, and orientation events.
For assigned projects, coordinate meetings, delegate as appropriate, monitor project progress, maintain documentation, and provide regular follow-up with appropriate stakeholders. Ensure timely completion and escalate as appropriate.
Other tasks as assigned.

Talent Acquisition (TA)
With guidance from members of TA team, support complex Interview scheduling as requested.
On a monthly basis, process Gravity referrals and complete associated communication.
As requested, complete job fair registration and coordinate logistics of delivery of recruitment materials to the event location.

Qualifications
Bachelor’s degree or commensurate experience required; degree in a related field such as Human Resources, Business Administration, or similar highly preferred.
Minimum three (3) years of relevant full-time experience required, experience in human resources operations or administrative support roles highly preferred.
Working knowledge of applicable local, state, and federal laws, regulations, and federally mandated programs which govern employment policies and practices (e.g. Fair Labor Standards Act, Family Medical Leave Act, Americans with Disabilities Act, etc.) preferred.
Experience supporting and prioritizing executive calendars preferred.
Sound judgment, a high degree of integrity and professionalism, with an ability to maintain discretion, confidentiality, diplomacy, and courtesy in all contacts.
Excellence in organization, follow-through, and attention to detail. Strong time management, initiative, and ability to manage multiple priorities.
Strong written and verbal communications skills, well organized, and detail oriented.
Strong critical thinking, research, problem-solving, and decision-making skills.
Interest in identifying and assisting with implementation of process improvements.
Ability to work both independently and as part of a team, in a fast-paced environment.
Ability to anticipate needs and prioritize competing demands.
Highly proficient with Microsoft Office Suite, particularly Outlook, Excel and PowerPoint. Knowledge of or willingness to be trained on specific Ceres’ applications necessary for success: Paycor, Smartsheet, Salesforce, and others as needed.

Compensation and Benefits
The hiring salary is $58,565 – $67,650 with competitive benefits (Pay Grade 13).
