Senior Executive and Project Assistant for corporate finance client, downtown Toronto.

Initial Term: ASAP for approximately 3 months, with anticipated conversion to direct-hire.

Target Compensation:
From $45 to $55 per hour, with some flexibility according to experience. Will be eligible for company benefits should the position convert to full-time employment.

Work Hours:

From 9 am to 5 pm, not including 1 hour unpaid lunch break, Monday to Friday (35 work hours per week). Additional paid time may occasionally be required according to client business need.

Work Location:

100% onsite at client’s downtown Toronto office, on PATH and near Union and GO stations.

Dress Code:
Corporate.

Travel Requirements:
Must be able to accommodate extensive travel requirements, domestic and international, including United Kingdom, Europe, Dubai and the United States.

Position Supports:
President and CEO.

Responsibilities Summary

Play key role in supporting day-to-day work of senior leadership, proactively managing multiple priorities in a fast-paced, client-focused environment and handling complex time management, logistics, documents management, and project support work. Will regularly accompany President and CEO on international client visits to support execution of diverse projects. Will represent executive office to diverse range of investors and clients and ensure smooth business operations, both locally and while traveling.

and Project Support Services

  • Act as primary liaison for internal and external inquiries and general business communications.
  • Manage complex executive calendars and due dates, reviewing and fielding meeting requests and negotiating meeting times.
  • Coordinate domestic and international travel arrangements with corporate travel agency as required.
  • Travel with President and project leadership team as required to provide onsite logistical and deal support, within Dubai, Europe, UK and US as required.
  • Prepare and distribute briefing notes and other client meeting materials. Research designated topics and create detailed information summaries for review.
  • Format and compile a range of documents from written and verbal instructions, ensuring strict confidentiality and attention to detail. Review and verify documents for numeric and written accuracy, clarity and completeness, using designated criteria and tools.
  • Additional executive support and project administration responsibilities as required.

Office Management / Site Support

  • Provide office site administration services including managing supplies and IT resources and maintaining professional office environment.
  • Set up and maintain hard copy and electronic records management systems, ensuring documents properly coded and retained for efficient reference and retrieval.
  • Coordinate with vendors, review quotes, verify invoices for payment and process expenses. Additional financial administration tasks as required.
  • Anticipate upcoming business and logistical requirements and collaborate with team to ensure appropriate resources are in place.

Qualifications

Education:

Post Secondary Degree or Diploma in Business Administration or similar discipline.

Preferred

Work Experience:

At least 5+ years of experience managing day-to-day administration of a fast paced professional services office, and providing administrative support services to a C-suite team.

Preferred Sector

Experience:

Financial services sector experience a strong asset, including banking or private equity experience. International and multi-cultural business sector experience strongly preferred.

Technical and Language Skills Requirements

  • Advanced proficiency in MSOffice including Word, Excel, Outlook and PowerPoint (will be tested). Will require advanced functionality in Word including Longer Document Tools, Track Changes, Document Protection, Indexing, Tables of Contents, Styles, etc. Will require advanced functionality in Excel including maintaining complex spreadsheets, and working with formulas, Pivot Tables etc.
