Main responsibilities:
Responsible for assisting with the day-to-day operational aspects of vendor management, including vendor registration, compiling and coordinating vendor performance data and organizing vendor engagement initiatives.
Tasks:
1. Maintain and update the central vendor database with accurate contact information, contract details and performance records.
2. Administer and process vendor registration applications in accordance with established procedures.
3. Handle general administrative tasks related to vendor management, such as scheduling meetings, preparing meeting minutes and organizing vendor files.
4. Collect, analyze and prepare reports on vendor performance data, including coordinating necessary follow-up actions to support performance monitoring and continuous improvement initiatives.
5. Facilitate cross-departmental execution of corrective and preventive actions arising from vendor performance assessments to promote continuous improvement of vendor performance.
6. Assist in documenting and updating vendor management procedures.
7. Organize and coordinate vendor training initiatives based on organizational needs, requirements and goals.
8. Act as a point of contact for routine vendor inquiries and information requests, including facilitating communication between vendors and internal departments.
9. Prepare and maintain dashboards and reports for monitoring, analysis and reporting purposes on a periodic basis or as required.
10. Perform other related duties as instructed from time to time by Management and/or the immediate Superior.
Requirements:
- Bachelor’s Degree in Quantity Surveying, Business Administration, Supply Chain Management, Procurement, or a related field;
- At least 3-5 years’ experience in vendor management and exposure to the construction sector;
- Strong communication skills (verbal, written, and interpersonal), with the ability to build relationships with diverse stakeholders, including vendors, government agencies and internal teams;
- Ability to organize and coordinate strategic initiatives from conception through implementation, with strong project management skills;
- Proficiency in analyzing data, market trends and vendor performance metrics to support informed decision-making and continuous improvement of programme outcomes;
- Strong knowledge of best practices, particularly in areas relevant to Vendor Management;
- High proficiency in Microsoft Office Suite or related software; and
- Excellent organizational skills and attention to detail.
