KROHNE Solutions is looking for an experienced Service Department Administrator

Are you an organized, service-minded multitasker who enjoys keeping everything and everyone on track? Do you like combining administrative work with contact with colleagues, customers and suppliers in an international environment? Then our Service Department Administrator role in Dubai might be a perfect fit for you.

You support our Service team in all operational, financial and logistical activities. You make sure that our service engineers can do their job – well prepared, safely, and on time – and that our customers receive clear quotations and correct invoices.

Your responsibilities:

  • Perform general administrative tasks for the Service department, including:
  • Telephone handling, correspondence, invoicing, translation work, archiving, small shipments, statements of expenses and organizing and prioritizing the workload.
  • Prepare small-value quotations.
  • Arrange travel for Service Engineers, including hotel and flight bookings.
  • Process visa applications for colleagues and visitors.
  • Ensure that tasks can be carried out properly, for example by arranging PPE and monitoring that test equipment is maintained and calibrated on time.
  • Prepare cost calculations for service activities.
  • Participate in the financial handling of Service orders: prepare invoices in the ERP system, send them to customers, and follow up where necessary.
  • Ensure that all orders are correctly reported and recorded.
  • Maintain service records, logs, and basic departmental reports.
  • Prepare quotations for spare parts and service work.

What you bring

  • Completed vocational or bachelor’s education (for example in Administration, Business, Logistics or similar).
  • Experience in an administrative or commercial support role, preferably in a technical or service environment.
  • A genuine interest in technology, process control and/or technical services – you don’t have to be an engineer, but you enjoy working in a technical setting and learning the basics of our solutions.
  • Strong organizational skills; you can handle multiple tasks and priorities at the same time.
  • Accuracy with numbers and documents (quotations, invoices, cost calculations).
  • Comfortable working with ERP systems and MS Office (especially Excel and Outlook).
  • Good communication skills, both written and spoken.
  • Professional level of English; additional languages are an advantage.
  • A proactive, hands-on mindset and a customer-oriented attitude.
  • Willingness to work in an international, multicultural environment in Dubai.
