Site Administrator – Renewable Energy Construction Jobs in United States at A-LEAF
About the Role:
We’re hiring a dedicated Site Administrator to support the operations of a large-scale renewable energy construction project. This position plays a critical role in keeping our site team running smoothly by managing day-to-day administrative tasks, ensuring compliance, and coordinating logistics in a fast-paced field environment.
What You’ll Bring:
· A degree or diploma in Business Administration, Accounting, HR, or a related field.
· Proven experience supporting field operations—ideally in large-scale construction, infrastructure, or renewable energy projects.
· Working knowledge of site administration tasks, including:
· – Tracking work hours, crew schedules, and attendance
· – Organizing travel, lodging, and per diem for rotating crews
· – Managing expense reimbursements and logistical support
· – PPE issuance and inventory control
· – Maintaining and organizing site documentation and compliance records
· Comfortable using Microsoft Office tools and basic ERP or construction management systems.
· Highly organized, detail-oriented, and resourceful under pressure.
· Professional, service-oriented, and an excellent communicator with all levels of the project team.
· Able to maintain confidentiality and handle sensitive documents appropriately.
Key Responsibilities:
· Operate and maintain an efficient, organized site office that supports field personnel and project operations.
· Administer time tracking systems, collate timesheets, and assist with payroll and reporting for the field crew.
· Coordinate travel logistics, accommodations, and per diem processes for site staff and subcontractors.
· Handle inventory management of PPE, consumables, and project materials to ensure availability and compliance.
· Maintain records and documentation for safety compliance, contractor onboarding, access control (e.g., CFIUS compliance), insurance, and training certifications.
· Act as the point of contact between onsite personnel and home office teams, including HR, Finance, Legal, and Procurement.
· Provide day-to-day admin support across the site team, such as organizing meetings, managing supplies, and liaising with vendors and service providers.
