The Senior Executive Assistant will provide high-level administrative support to the CEO, ensuring seamless coordination and execution of daily operations. This role is pivotal in enabling the CEO to focus on strategic initiatives and company growth by handling a wide range of administrative and operational tasks with efficiency and discretion.

The Opportunity:
Executive Support:
Manage and protect the CEO’s calendar proactively. Ensure CEO is well prepared with relevant data and prework for both internal and external discussions. Ensure CEO has ample time set aside for thought leadership and other strategic work.
Participate in weekly leadership team meetings to capture notes and action items, providing follow-up summaries to ensure accountability.
Translate action plans into daily updates for the CEO, including “to-do” lists and follow-ups with direct reports.
Work with Board members to schedule and plan quarterly meetings. Create and consolidate the Board meeting presentation templates and ensure timelines are met each quarter to prepare for the meetings.
Handle some travel arrangements and expense reporting for the CEO, coordinating and maintaining receipts.
Support the quarterly goal-setting process, ensuring alignment with company priorities and tracking progress. Ensure the CEO is modeling the goal-setting process with her direct reports, setting an example for the rest of the company.
Handle confidential and sensitive information with the utmost professionalism.
Communication Management:
Handle email and social media follow-ups with prospects, clients, and other stakeholders to maintain engagement and drive progress toward business goals.
Serve as the point of contact between the CEO and internal/external stakeholders, representing the CEO with professionalism and courtesy.
Follow up on meeting requests initiated by the CEO to ensure they are scheduled promptly and efficiently.
Work with CEO to ensure timely delivery of staff birthday cards and other notes of appreciation.
Administrative Tasks:
Organize and maintain electronic files, records, and documentation, ensuring easy accessibility.
Coordinate logistics for leadership, functional, and company-wide events, meetings, and team gatherings.
Maintain ongoing list of CEOs live connections throughout the year
Project Coordination:
Provide operational support for special projects as directed by the CEO, leveraging strong project management skills to ensure deadlines and milestones are met.
Conduct research and compile data to support decision-making processes.
Social Media and External Presence Support:
Manage the CEO’s social media profiles by drafting and scheduling posts that align with personal and professional branding.
Review daily news feeds to identify articles that align with HR Acuity’s mission and suggest content for the CEO to comment on or share.
Coordinate CEO outreach to customers and prospects, working closely with the sales and customer success teams, and monitor follow-up needs.
Monitor engagement and provide insights to enhance the CEO’s thought leadership presence.
Internal Coordination:
Support internal communications, including drafting memos, newsletters, and updates.
Facilitate Weekly Meet Up Sessions and Quarterly Town Halls – Ensure the timely execution of these sessions by curating engaging and innovative topics with the leadership team members and coordinating cross-functional presentations that foster collaboration and alignment across the organization.
Coordinate CEO skip-level meetings, managing scheduling, agendas, and follow-up actions to ensure alignment across teams.
Assist in preparing for internal and external meetings by organizing relevant materials, data, and talking points. These can include monthly skip-levels, executive touchpoints with clients and prospective clients, as well as analyst or media engagements.
Qualifications:
Experience
Proven experience as an executive assistant for C-Suite leader or in a similar high-level administrative role.
Proficiency in productivity tools, including Microsoft Office Suite (with strong PowerPoint and Excel skills), Google Workspace, and project management software.
Skills
Highly intelligent and capable of thinking critically, with the ability to see beyond immediate tasks to identify and execute the right course of action.
Exceptional organizational and multitasking skills with strong attention to detail.
Excellent written and verbal communication skills.
High level of discretion and confidentiality.
Ability to work independently and proactively anticipate needs.
Strong interpersonal skills and ability to build relationships across all levels of the organization.

Compensation: The pay range for this position is expected to be between $110,000 to $125,000 however, base pay offered may vary depending on multiple individualized, non-discriminatory factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other incentive compensation opportunities in the form of discretionary annual bonus or commissions, and equity.
