Job Description

Role Overview

As our Studio Coordinator, you will be the operational backbone of our photography studio, ensuring every shoot day runs smoothly from pre-production through wrap. Your focus will be on managing the studio calendar, welcoming clients, and maintaining a working environment where photographers and crews can focus on creative work without logistical disruptions. This role matters because a well-coordinated studio directly impacts client confidence, repeat bookings, and the overall reputation of our space.

Key Responsibilities

  • Coordinate all studio bookings, including scheduling, confirming, and managing calendar availability across multiple shoots and events.
  • Serve as the first point of contact for clients, visitors, and production teams, handling inquiries and ensuring a professional, welcoming experience.
  • Oversee the setup and breakdown of photography equipment and lighting rigs, ensuring everything is in place and functioning before each session.
  • Maintain studio cleanliness, organization, and inventory of gear, alerting the team to any maintenance or supply needs.
  • Manage day-of-shoot logistics, including timing, client needs, and resolving any operational conflicts that arise under pressure.
  • Assist with administrative tasks such as contracts, invoices, onboarding new clients, and maintaining records in Google Workspace or similar platforms.
  • Monitor studio safety standards and ensure all equipment is handled correctly by both staff and clients.

Requirements & Qualifications

  • 2–3 years of hands-on experience working with professional photography studio equipment and lighting setups, including modifiers, stands, and power management.
  • Prior experience in client-facing roles, hospitality, or studio environments where service quality and communication were central.
  • Strong organizational and time-management abilities, with a proven capacity to juggle multiple bookings and deadlines at once.
  • Excellent verbal and written communication skills, plus a calm, professional approach to conflict resolution.
  • Ability to work under pressure, adapt to changing schedules, and handle last-minute requests without losing attention to detail.
  • Solid administrative skills, including proficiency with Google Workspace (Gmail, Calendar, Drive, Docs) or equivalent tools.
  • Genuine passion for photography or visual arts, with an eagerness to learn new studio technologies and workflows.
