The New Zealand Embassy in Cairo is seeking a Team Administrator to join our hard-working team.
More about the role
The Team Administrator is responsible for providing general administration support to the team across a wide range of administrative functions, with a particular emphasis on providing administrative support to the Senior Finance and Property Officer and undertaking protocol administration responsibilities. The position also provides support and backup for payroll processing, property and facilities management activities, contractor and vendor liaison, as well as support for consular enquiries and support as needed. The position may be required to undertake, or provide backup for, a wide range of activities in support of the Embassy’s operational objectives. Responsibilities will be allocated to make best use of overall team resources and individual skills.
The position formally reports to the Administration Manager, Cairo, who is responsible for overall performance management, accountability, professional development, and employment-related matters. Day-to-day tasking, operational supervision, and routine task reporting are provided through the Senior Finance and Property Officer, who directs and coordinates the position’s daily work programme and priorities.
Please refer to the position description for more details. Key responsibilities include:
Administration
· Provide administrative services and support; assist with arranging and organising functions and meetings; assist with booking staff travel and accommodation.
· Assist with coordinating guest lists and invitations for official events.
· Act as primary Post (electronic) unclassified mailbox administrator – respond to general emails or forward as appropriate.
Protocol
· Undertake general Protocol administration tasks such as coordination and delivery of correspondence and formal channels of communication, for example TPNs (Third Person Notes), NVs (Notes verbal) etc.
· Assisting with the drafting of TPNs and general correspondence, customs clearance paperwork, and formal notifications and follow up with the Egyptian MFA about visas, permits etc.
· Provide backup support to the EA/Team Administrator and acts as the designated alternate, undertaking EA/Team Administrator responsibilities during periods of absence or as required.
Notarial and Consular
· Notarial, Consular and general enquiries to the Embassy email and on the phone.
· Work with and provide back-up cover for the Consular Adviser which includes, notarial functions, contingency planning, consular casework.
Finance:
• Provide back up support to assist with administering Local Staff salaries, including processing the monthly pay when required.
· Provide backup support to the Senior Finance and Property Officer and acts as the designated-
alternate, undertaking Senior Finance and Property Officer responsibilities during periods of absence or as required.
• Assist with the preparation of invoices and end of month financial procedures, including monthly bank reconciliation and reporting.
• Assist with queries and follow ups regarding weekly payments to vendors, rents and utilities.
Property:
• Obtain quotes for maintenance/repairs, furniture, equipment, and office supplies and procure items as directed.
• Arrange access to property and supervise provider representatives undertaking maintenance and inspections of property.
· Maintain Asset Management (AIMS) database.
Ideal candidate profile
· Bachelor’s degree in business administration or any related field.
· Initiative, great problem-solving skills and an eye for detail.
· A professional standard of written and spoken English and Arabic.
· Experience in an administration role.
· A quick learner who can quickly come up to speed with systems and processes.
· Well organised, efficient, including the ability to prioritise tasks effectively and work under pressure.
· Strong finance and numeracy skills.
· An excellent understanding of (or ability to quickly learn) Egyptian government functions and procedures, and experience handling protocol matters.
· Ideally, have experience working in an Embassy or similar environment.
· A high level of flexibility and responsibility and the ability to work effectively as a team member.
