Our Amsterdam office is at the heart of our operations in the Netherlands, and we are looking for a proactive and organized Team Assistant to support our Origination Team and ensure smooth day-to-day operations.

Your Role

As a Team Assistant, you will play a key role in maintaining and enhancing the quality of services provided by our Amsterdam office. You will split your time equally between two core areas: supporting office management, IT, and HR functions (50%), and managing customer-related operations including our customer portal platform, invoicing, and energy tax matters (50%). You will provide vital support to the team, act as a key point of contact for internal and external stakeholders, and ensure efficient business operations.

Key Responsibilities

Office Management, IT & HR Support (50%):

  • Assist the Netherlands Team with scheduling meetings, managing correspondence, and arranging travel.
  • Perform standard administrative tasks to maintain and improve office service quality.
  • Serve as a liaison to Human Resources, Communications, and IT support at headquarters.
  • Oversee office facilities and ensure a well-organized and functional work environment.
  • Act as the primary contact for facility-related matters, including maintenance and vendor coordination.
  • Organize local team events and office gatherings to foster collaboration and engagement.

Customer Management & Portal Operations (50%):

  • Manage customer interactions through our customer portal platform, ensuring smooth user experience and technical support.
  • Handle open invoices and payment tracking, including follow-up on outstanding payments from customers.
  • Manage Purchase Orders (POs) and coordinate the procurement process.
  • Administer energy tax-related documentation and compliance matters for customers.
  • Support the onboarding of new Axpo customers in the Netherlands, ensuring a seamless process.
  • Respond to customer and business inquiries promptly and professionally.
  • Assist with resolving customer account issues and disputes.

Qualifications :

  • Bachelor's degree or equivalent experience in business administration, office management, or a related field.
  • 2-4 years of experience in an administrative or support role.
  • Experience with customer portal systems or billing/invoicing processes is advantageous.

Skills & Competencies :

  • Strong organizational and multitasking abilities with a proactive and detail-oriented mindset.
  • Excellent communication skills in English; knowledge of Dutch is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with customer relationship management (CRM) systems or portal platforms.
  • A problem-solver with a collaborative and adaptable approach.
  • Ability to manage competing priorities and work independently.
