Trust Administrative Asst Jobs in Winchester, Virginia, USA at First Bank

Position Purpose: Assist in a variety of job roles both operational and administrative. Work closely with Administrative Officers on fiduciary accounts.

Facilitate the preparation of new account set ups.

Work with an administrator to clear overdrafts.

Prepare correspondence to clients.

Ensure that client bills are paid.

Work with clients to move funds to checking accounts via ACH transfer.

Maintain client contact on various matters.

Assist with real estate inspections on properties held in trust.

Attendance:
Reporting to work on time and on scheduled day at your scheduled location.

Face-to-face interaction with co-workers and the ability to work in a team environment.

Field inquiries from clients daily and assist with solving client issues.

Ensure that proper documentation of disbursements and client administration is completed and maintained in conformance with Trust policy and procedure.

Provide assistance as required on administrative projects and periodic Trust audits.

Work with Administrative personnel and take advantage of educational opportunities to further understand Trust Administration and to enhance skills.

This position has significant interaction with clients on a daily basis.

Ensure that discretionary distributions are properly documented and reported to AOTC Committee on a quarterly basis.

Facilitate the payment of department real estate and personal property taxes.

Manage recurring administrative ticklers on accounts.

Assist Senior Trust Officers with Administering the Department and Trust Committee reporting:

Maintain Trust Policy.

Prepare documents for the Trust Committee on a quarterly basis.

Prepare and coordinate documents to Administrative Officers Trust Committee.

Keep AOTC and Trust Committee agenda, reports, and minutes.

Prepare with management guidance various departmental reports.

Coordinate William Blair meetings and materials for semi-annual client meetings.

Coordinate the annual Trust Department/William Blair client social.

Operational Duties:

Work with Trust Operations personnel to become proficient with the trust accounting system.

Provide part of the dual control access to the Trust vault.

Prepare Operational forms for entry by Operational personnel.

Other Duties:

Work with clients on a daily basis to meet client needs and facilitate the department delivery initiatives of the department. Work with fellow Trust Department personnel to service clients and meet Trust Department goals.

Training:

Microsoft Outlook Suite (Outlook, Word, Excel).

Personal Trust School.

Bank Secrecy Act.

Privacy Act.

Other compliance training as assigned.

Communication:

Excellent communication skills are necessary with both the public and internal peers.

Knowledge/Skills:

Superb verbal and written communication and time-management skills.

High school diploma required.

Associate or bachelor’s degree preferred.

Highly skilled with Microsoft Suite and Outlook.

High level of organizational skills.

Working Conditions:

Use of personal computer systems on a daily basis. Occasionally files, documents, etc., weighing up to 25 lbs, will need to be transported; however, the majority of the time is spent at a desk.
