Job Overview
We are seeking an experienced Trust Administrator to join our Trust & Investment Department. In this role, you will support the administration of fiduciary and investment accounts while ensuring compliance with governing documents, fiduciary obligations, and legal and regulatory standards while delivering exceptional service to our clients. We seek an organized self-starter with excellent communication skills, discretion, and a demonstrated understanding of fiduciary topics.

The Trust Administrator partners with Trust Officers to provide outstanding client service through effective account administration and operational support. This role services and maintains active, potential, and closing accounts and serves as an additional point of contact for clients. The applicant should be comfortable reviewing fiduciary agreements and governing documents to ensure accurate account set up and administration of accounts.

Essential Duties

  • Assist Trust Officers with administration of accounts from account opening through termination.
  • Preparation of initial and annual administrative account reviews.
  • Serve as an additional contact for clients and centers of influence.
  • Coordinate administration of special assets (real estate, etc.).
  • Assist in estate administration, including marshaling assets, coordinating valuations, complying with notice requirements, filing deadlines and beneficiary communication.
  • Review account closings to assure all details are addressed.
  • Maintain dry trust, prospective and new business folders.
  • Prepare materials and assist committee chairs with meeting preparation (Trust Committee and Trust Management Committee).
  • Prepare and file probate accountings.
  • Perform administrative duties, such as typing, filing, copying, etc.
  • Maintain consistent and reliable attendance.
  • Perform other duties as assigned to meet ongoing needs of the organization.

Knowledge, Skills, & Experience Required

  • Bachelors degree or equivalent work experience in legal, financial services, or wealth management environment.
  • Paralegal experience is a plus but not required.
  • Strong understanding of relevant legal requirements, tax laws, fiduciary concepts and individual client circumstances for fiduciary accounts, agency accounts and IRAs.
  • Ability to communicate complex concepts clearly and build lasting relationships with clients and professional partners.
  • Ability to review fiduciary agreements and governing trust documents.
  • Proficiency with Microsoft Office and ability to learn internal client management software.
  • Strong organizational skills, attention to detail and accuracy, and demonstrated ability to effectively manage multiple tasks.
  • Professional certifications such as CTFA (Certified Trust & Fiduciary Advisor) are a plus but not required.

Physical, Mental, and Visual Requirements

  • Ability to work at a desk on a computer for multiple hours per day.
  • Ability to read a variety of documents on paper or on the computer.
  • Fine motor skills, dexterity, accuracy, and continuous mental and visual attention.
  • Strong verbal communication skills in English to effectively communicate with customers and colleagues.
