Core Responsibilities:
Respond to 50-100 Instagram DMs daily using our brand tone and scripts
Collect phone numbers from serious enquiries and schedule sales calls promptly
Identify genuine leads using context and judgment
Manage the founder’s Google Calendar with precision-no overlaps or missed slots
Maintain clean, up-to-date records in Google Sheets (lead tracking, call logs, etc.)
Handle payment follow-ups professionally and consistently
Keep a master tracker updated with client payment status and pending dues
Coordinate with the sales closer for seamless handoff of leads
Organise client documents, onboarding forms, and progress trackers
Send reminders for calls, handle reschedules, and make sure nothing slips through the cracks
Support with other admin tasks as needed (e.g., form creation, invoice tracking, light research)
Must-Have Skills:
Excellent written English and professional communication skills
Strong follow-up abilities, especially when dealing with payments
Exceptional attention to detail-you must be able to spot errors or missing info
Experience handling and organising data, especially lead trackers, financial status and timelines
Comfortable with tools like Google Sheets, Google Docs, Calendar, and Drive
Familiarity with Instagram DMs and online communication tools
Independent, reliable, and open to taking initiative
Previous VA or admin experience in a coaching or service-based business is a plus
This is not a short-term gig.
