About the Role

We're hiring a Virtual Personal Assistant to work directly alongside our Director of Operations. This is a high-trust role: you'll be the steady, organized partner who keeps the Director's calendar, communications, and priorities running smoothly — and helps coordinate the operations workflows that the Director oversees.

This is a fully remote position open to candidates anywhere in the United States. We provide thorough training — what we care about most is your attitude, communication skills, and willingness to learn. Who You'll Work With

You'll report directly to the Director of Operations and serve as their primary administrative partner. You'll also collaborate regularly with our recruiting, HR, and clinical management teams as the Director's projects require.

What You'll Do

– Manage the Director of Operations' calendar — schedule meetings, protect focus time, and coordinate across our team and external partners

– Triage the Director's email inbox and draft professional correspondence on their behalf to families, physicians, referral partners, and vendors

– Prepare and format documents for the Director — letters, reports, internal memos, presentations, and onboarding packets

– Maintain confidential patient and personnel records in strict accordance with HIPAA and California privacy regulations

– Support the Director's recruiting and hiring oversight: schedule candidate interviews, send confirmations, prepare scorecards, assist with onboarding paperwork

– Answer and route incoming phone calls during business hours with warmth and discretion

– Track tasks and follow-ups across the Director's projects using modern productivity tools

– Provide light bookkeeping and expense-tracking support as needed

– Proactively flag scheduling conflicts, deadlines, and gaps before they become problems

What You Bring

Required

– Excellent written and verbal English — your spelling, grammar, and tone

are reliably professional

– Proven discretion handling sensitive information

– Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)

and Microsoft Office

– Comfort learning new tools quickly — Zoom, modern phone systems, and

task-management platforms (Asana, Trello, ClickUp, or similar)

– Willingness to complete certified HIPAA training within the first 30 days

(we provide it)

Strongly Preferred

– Prior administrative, virtual assistant, or executive assistant experience — especially supporting a single executive

– Healthcare, hospice, home health, or medical office background

– Bilingual Spanish/English — many of the families we serve are Spanish-speaking

– Familiarity with EMR or hospice-management systems (HCHB, MatrixCare, Hospice Tools, Axxess)

Schedule & Compensation

– Full-time, Monday through Friday (Flexible Scheduling)

– Sign-On Bonus:$1,200

– Pay range: $25–$28/hour, based on experience
