About the Role

This is more than a typical Virtual Assistant position. You will play a key role in keeping our day-to-day operations running smoothly while supporting our management team with recruitment, client onboarding, scheduling, and general administration.

The successful applicant will receive two weeks of comprehensive face-to-face training to learn our systems, processes, and quality standards before transitioning to remote work.

This role is ideal for someone who enjoys organisation, takes initiative, communicates professionally, and thrives in a fast-paced environment. This is a long-term opportunity with room to grow into a senior administrative or operations role as the company expands.

Key Responsibilities

– Manage company inboxes and respond to emails professionally
– Answer and return phone enquiries
– Recruit and onboard new support workers
– Conduct compliance checks and maintain staff records
– Prepare employment and subcontractor documentation
– Assist with client onboarding and service commencement
– Maintain accurate digital filing systems
– Coordinate staff rosters and scheduling
– Follow up on outstanding documents and compliance requirements
– Liaise with support workers, clients, and allied health professionals
– Prepare invoices and assist with administrative reporting
– Update internal databases and CRM systems
– Assist with social media and marketing tasks when required
– Support management with day-to-day operational tasks
– Create and update Standard Operating Procedures (SOPs)
– Identify opportunities to improve workflows and efficiency

What We’re Looking For

Essential

– Excellent written and spoken English
– Outstanding organisational and time management skills
– High attention to detail
– Strong problem-solving ability
– Ability to work independently with minimal supervision
– Professional phone manner
– Proficiency with Microsoft Office and Google Workspace
– Fast learner with a positive attitude
– Reliable internet connection and suitable home office setup

Highly Regarded

– High level of professionalism, integrity and confidentiality when handling sensitive client information.
– Experience working in Australian healthcare, NDIS, aged care, or community services
– Recruitment or HR administration experience
– Experience with scheduling or workforce coordination
– Knowledge of the NDIS Quality & Safeguards Commission requirements
– Experience using CRMs, rostering, or practice management software

Working Hours

– Part-time (approximately 20 hours per week)
– Monday to Friday
– Must be available during Australian business hours (AEST/AEDT)

Training

The successful candidate will complete two weeks of face-to-face training to learn our systems, processes, and quality expectations. Ongoing mentoring and support will also be provided as you settle into the role.
