Job Purpose

The Warehouse Administrator is responsible for providing administrative support for daily warehouse operations, ensuring accurate documentation, inventory transactions, and timely coordination of inbound, outbound, banding, and trade return activities. The role works closely with warehouse operations, transportation, customer service, and inventory teams to maintain operational efficiency and inventory accuracy.

Key Responsibilities

A. Inbound Operations

  • Process and verify inbound delivery documents, including purchase orders, delivery orders, and goods receipt documentation.
  • Coordinate receiving schedules with suppliers and transport providers.
  • Verify received quantities against system records and supporting documents.
  • Update Warehouse Management System (WMS) or ERP with goods receipt transactions.
  • Report discrepancies, shortages, damages, or quality issues to the relevant departments.
  • Maintain accurate filing of inbound documentation.

B. Outbound Operations – eRF

  • Prepare picking lists, delivery orders, invoices, and shipping documentation.
  • Coordinate order processing and shipment scheduling with logistics providers.
  • Ensure orders are released accurately and on time.
  • Update shipment status and maintain outbound records.
  • Resolve shipping documentation issues with customers, transporters, and internal stakeholders.
  • Monitor order completion and ensure all required documents are properly filed.

C. Banding Operations

  • Prepare and process banding requests according to customer or operational requirements.
  • Coordinate with warehouse personnel to ensure products are correctly banded before dispatch.
  • Maintain records of completed banding activities.
  • Ensure compliance with customer specifications and company standards.
  • Report any banding discrepancies or delays to supervisors.

D. Trade Returns

  • Process returned goods in accordance with company procedures.
  • Verify returned quantities and condition against return authorization documents.
  • Record trade return transactions accurately in the WMS/ERP system.
  • Coordinate inspections with Quality Assurance and warehouse teams.
  • Monitor disposition of returned goods, including restocking, quarantine, or disposal.
  • Maintain complete documentation and reports on trade return activities.

E. Inventory & Documentation

  • Maintain accurate inventory records through timely system updates.
  • Assist in cycle counts and stock reconciliation activities.
  • Prepare daily, weekly, and monthly operational reports.
  • Maintain organized warehouse documentation and records.
  • Support inventory investigations and discrepancy resolution.

F. Coordination & Communication

  • Liaise with warehouse operations, customer service, procurement, logistics, and finance teams.
  • Coordinate shipment schedules and warehouse activities.
  • Respond promptly to internal and external operational inquiries.
  • Escalate operational issues when necessary.

G. Compliance

  • Follow company policies, warehouse procedures, and safety requirements.
  • Ensure documentation complies with internal controls and audit standards.
  • Support continuous improvement initiatives within warehouse operations.

Key Qualifications, Skills & Experience

  • Minimum Certificate in Warehouse Management, Logistics, Transport or equivalent.
  • Experience with Warehouse Management Systems (WMS) and ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) is preferred.
  • Proficient in Microsoft Office, especially Excel.
  • At least 2 years of working experience in warehouse, logistics, or manufacturing industry.
  • Good communication skills as the role requires constant communication with internal and external parties.
  • Sound experience in problem-solving, time management and organizational skills.
  • Able to work on weekends or Public Holidays when required
