Key Responsibilities:
1- Administrative & Office Support:
• Perform daily administrative tasks, including document filing, record management, office coordination, and general operational support.
• Prepare and process internal documents such as purchase requests, reports, supplier forms, and related paperwork.
• Maintain accurate records of import activities, supplier information, purchasing documents, and operational files.
• Coordinate and communicate with vendors, logistics providers, and relevant government agencies as required.
2- Import & Customs Clearance:
• Prepare and verify import documentation (invoices, packing lists, permits, etc.)
• Coordinate with customs brokers, freight forwarders, and relevant authorities to ensure timely goods clearance
• Track shipment progress and update internal stakeholders
• Ensure full compliance with national customs regulations and company procedures
3- Vehicle Operation & Maintenance:
• Operate company vehicles for business-related activities, including goods collection, document delivery, supplier visits, and operational support.
• Ensure company vehicles are properly maintained through regular servicing, inspections, and repairs.
• Maintain accurate records of fuel consumption, mileage, vehicle usage, and maintenance schedules.
4- Marketing Material Coordination:
• Monitor stock levels of marketing materials and promotional items
• Coordinate the restocking process by sourcing and ordering from suppliers
• Research and identify new vendors for printing, branding, and marketing supplies
• Assist in logistics arrangements for events or marketing activities when needed
Qualifications and Skills:
• A bachelor's degree or relevant qualification in business administration, logistics, supply chain management, or a related field is preferred.
• 1–3 years of experience in administration, logistics, import/export, or related functions
• Valid driver’s license with the ability to operate a company vehicle safely
• Knowledge of customs clearance processes and related documentation
• Strong organizational and multitasking abilities
• Good communication and negotiation skills
• Proficient in Microsoft Office (Word, Excel, Outlook)
• High level of accuracy, attention to detail, integrity, and accountability.
