HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT
We are seeking a travel program specialist to serve as a single point of contact for world-wide travel. This is a fast-paced environment where personnel interact with all levels of staff. The travel program specialist will have seating at a government entity located in Maryland.
The travel program specialist can expect to perform the following duties:
Communicating with employees frequently and arranging travel.
Preparing TDY packages for travelers, including meet/greet instructions, itineraries, travel orders, copies of passports, copies of visas, information cards with travel numbers, and copies of e-ticket transportation.
Completing authorization letters and passport applications to obtain passports.
Completing Pressey letters and forms for visa applications and sending visa application packages to the appropriate embassy via courier.
Drafting/sending electronic country clearance cables to required sites.
Receiving site concurrence messages via database, drafting/sending cables for concurrence via database, and verifying meet and greet entries.
Completing visa applications and following up with travelers for appointments to sign applications and take photos.
Ensuring E-ticket numbers are recorded in the database, entering travelers’ itineraries into the database, and verifying travelers have been ticketed.
Verifying all coordination items are checked in the database before checking travelers out.
Scheduling appointments with travelers to check out prior to traveling.
Initiating travel coordination and monitoring coordination to ensure timeliness and completion.
Requesting account creation for travelers.
Monitoring travelers’ preparation schedules to ensure visibility to appropriate offices and travelers.
Scheduling necessary training/appointments or engaging appropriate offices for scheduling necessary training/appointments.
Coordinating all travel with the training officer and entering all required training into the database.
Monitoring databases frequently for travel messages and preparing travel worksheets via database.
Requesting reservations and following up with reservation changes as needed.
WHAT YOU’LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph security clearance.
The position requires a High School Diploma and three (3) years of relevant experience or an equivalent combination of education and experience.
The core hours are 9:00 am-3:00 pm.
The candidate must be able to operate in a team environment as well as successfully work on their own.
This position is on customer site.
