Job Objectives

  • Oversees company’s administrative functions to ensure the office runs smoothly and efficiently.
  • Supervises administrative team members and ensure that daily office operations are performed in a seamless and efficient manner.

Department: Human Resources & Administration

Office: GDNL Terminal ‘E’ Building Apapa Port Complex, Apapa Wharf, Lagos-Nigeria.

Reports to: Head of Human Resources/Administration

Job Responsibilities

  • Strategic & Process Management: Plan, coordinate, and continuously improve corporate administrative systems, policies, and operational procedures to streamline workflows. Ensure all office operations adhere to company regulations.
  • Vendor & Logistics Management: Partner with Procurement team to manage service providers for utilities, corporate event execution, and staff transportation buses. Supervise fleet tracking, maintenance scheduling, and validate all job completion forms.
  • Facilities & Inventory Control: Partner with Facility team to oversee facilities maintenance, workspace aesthetics, and janitorial services (ensuring restrooms and workspaces function optimally). Monitor and optimize the inventory, storage, and allocation of office consumables and stationery.
  • Financial & Budgetary Control: Partner with the Finance team to set administrative budgets, track departmental expenses, monitor spending against constraints, and assist with processing operational outlays.
  • Team & Workspace Coordination: Allocate responsibilities and optimize office spaces for new hires. Organize office activities (renovations, recycling initiatives, space management) and facilitate a smooth, adequate flow of information across internal departments.
  • Reporting: Generate accurate periodic administrative performance and cost analysis reports.
  • Corporate Events: Plan, schedule, and coordinate locations for corporate events, meetings, audits, orientations, and training sessions.
  • Keep abreast with all organizational changes and business developments.
  • Supervises the day-to-day operations of the administrative department and staff members.

Competence Requirements

  • Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and hands-on exposure to corporate ERP systems like SAP and MS Dynamics.
  • Leadership & Management: Proven team leadership, managerial capability, and performance monitoring skills.
  • Behavioural Skills: Excellent verbal and written communication, strong presentation delivery, business acumen, analytical problem-solving, and a high degree of interpersonal dexterity and customer service orientation.

Educational Qualification

  • B.sc/B. A or M.sc degree in Human Resources, Business Administration, Public Administration, Project Management, any Social Science course or equivalent.

Professional Qualification

  • Relevant Professional certifications e.g. Relevant professional certifications from bodies such as the Nigerian Institute of Management (NIM), Chartered Institute of Personnel Management of Nigeria (CIPM), or equivalent administrative management professional bodies are an added advantage.

Desired Experience

  • Minimum of 6–8 years of progressive experience in administration or corporate facilities-related roles.
  • Industry knowledge within highly operational sectors (e.g., shipping, maritime ports, logistics, oil & gas, or manufacturing) is highly advantageous.
