Job Summary:
We are seeking a proactive and detail-oriented Admin Officer to oversee facility management, administrative operations, vendor coordination, and support cross-functional departments. The role requires strong supervision skills, hands-on problem-solving ability, and coordination with internal teams and external stakeholders to ensure smooth day-to-day operations.
Key Responsibilities:
Facility Management & Maintenance
- Conduct routine inspection and supervision of the overall building and office premises.
- Regularly inspect and ensure proper functioning of:
- Painting, carpeting, and curtains
- Air conditioning systems and heaters
- Lighting, fans, and electrical fittings
- Kitchen utilities, including utensils and gas stoves
- Water dispensers, plumbing, and drainage systems
- Office equipment, such as photocopy machines
- Identify repair, maintenance, and renovation needs; coordinate with vendors and supervise completion of work.
Administrative Supervision
- Supervise and manage support staff, including Admin Assistants, Security Guards, Gardeners, Plumbers, and Electricians.
- Ensure cleanliness, safety, and proper upkeep of the premises.
Vendor & Asset Management
- Coordinate with vendors for procurement, repairs, and service delivery.
- Prepare Purchase Orders (POs) and obtain necessary approvals (HOD, CFO, Finance).
- Ensure timely delivery of goods and services.
- Maintain records of goods, inventory, and asset relocation.
- Act as a material controller to ensure proper storage and tracking of items.
Utilities & Compliance
- Monitor utility usage, including monthly electricity meter readings and report to Finance for timely payments.
- Assist in insurance, legal, and government-related administrative work as required.
Operational & Logistical Support
- Coordinate office space allocation, seating arrangements, and relocation of assets for new or existing staff.
- Handle bank-related tasks such as deposits and visits to tax offices.
- Manage TRF pickups and related logistics.
Marketing & Interdepartmental Support
- Support internal branding initiatives, event coordination, and marketing activities.
- Provide administrative and coordination support to Marketing, Academics, Finance, and HR departments.
- Liaise with vendors for marketing-related payments and services.
Qualifications & Requirements:
- Bachelor’s degree in Business Administration or a related field.
- Minimum 2–4 years of experience in administration or facility management.
- Strong coordination, supervision, and organizational skills.
- Good communication and vendor management abilities.
- Basic knowledge of procurement processes and documentation.
- Ability to multitask and work across departments efficiently.
