Job Description
Jones Engineering is looking for a reliable and detail-oriented Admin Officer to join our team in Finland. This role is key in supporting site operations, coordinating annual leave and rotations, maintaining accurate admin systems and compliance records. You will be the on-site point of contact for all admin-related matters and play an essential part in maintaining smooth day-to-day project administration. This is a fast-paced role where communication & being highly organised are critical.
Duties:
- Supporting the onboarding process for new starters: preparing welcome packs, ensuring everything is set up before their arrival and organising site inductions.
- Maintaining accurate daily and weekly trackers, including:
- Annual leave
- Site rotations
- Staff resources
- Flight and travel logs
- Understanding site-specific compliance requirements and keeping relevant databases up to date (full training provided).
- Supporting accommodation logistics for new starters.
- Ensuring contact lists, trackers and distribution groups are current and well-maintained.
- Liaising with Project Managers, Admin Manager & HR on staff logistics.
- Being the go-to person for admin queries on-site.
- Maintaining and updating master admin files in line with company procedures.
- Assisting with on-site events and social activities as needed.
- Promoting smooth and clear communication between site teams and senior staff/admin.
- Reporting any risks, concerns, or opportunities for improvement to the Admin Manager, with a focus on continuously improving processes and making site operations more efficient and structured.
Skills and Requirements:
- Leaving Certificate or equivalent.
- 3+ years’ experience in a similar admin or site-based role preferred – however, we will also consider candidates who are highly motivated, eager to learn, and confident using computers and Microsoft Office.
- A positive attitude and willingness to get stuck in – we’re looking for someone who brings good energy to the team and helps keep things running smoothly.
- Strong IT skills in Microsoft Word, Excel, and PowerPoint.
- Familiarity with SharePoint is an advantage; however, full training will be provided for the right candidate.
- Clear and confident written and verbal communication skills.
- Excellent organisation and attention to detail.
- Comfortable working both independently and as part of a team.
- Use initiative to suggest improvements and new ideas.
- Prior experience in the construction or engineering industry is an advantage.
- Full training on internal systems and compliance processes will be provided.
