Key Responsibilities

  • Coordinate daily administrative and office activities to ensure smooth operations.
  • Maintain accurate and organized company records, documents, files, and correspondence.
  • Handle incoming and outgoing correspondence, emails, and administrative communications.
  • Support the arrangement of meetings, appointments, events, and company activities.
  • Prepare administrative reports, documents, schedules, and presentations as required.
  • Monitor office supplies, equipment, and other administrative resources and arrange replenishment when necessary.
  • Coordinate company vehicles, drivers, office facilities, and other administrative services when required.
  • Assist with travel arrangements, accommodation, transportation, and logistics for employees and visitors.
  • Support employee onboarding and other administrative processes.
  • Liaise with internal departments, suppliers, service providers, and government authorities on administrative matters.
  • Ensure company offices and facilities are maintained in a clean, safe, and professional condition.
  • Maintain confidentiality of company and employee information.
  • Monitor administrative expenses and support proper documentation of expenditures.
  • Assist management with other administrative and logistical duties as assigned.
  • Qualifications & Requirements

    • Diploma or Bachelor’s Degree in Business Administration, Human Resources, Public Administration, Management, or a related field.
    • 3 + years of relevant administrative experience, preferably in a company, factory, FMCG, logistics, or industrial environment.
    • Good knowledge of office administration and document management.
    • Good computer skills, particularly Microsoft Office (Word, Excel, and PowerPoint).
    • Strong organizational and time-management skills.
    • Good communication skills in English and/or Swahili.
    • Ability to coordinate multiple tasks and work under pressure.
    • Strong interpersonal and problem-solving skills.
    • High level of integrity, confidentiality, reliability, and professionalism.
    • Ability to work effectively with different departments and employees.
    • Willingness to work flexible hours when required.
