Job Description
To coordinate and manage administrative functions at the branch level, ensuring smooth office operations, proper documentation, and effective support to all departments, including M&E, transportation, accommodation, and housekeeping services.
Key Responsibilities
- Oversee daily administrative tasks, supply inventory, and overall office organization.
- Maintain proper filing systems for branch documents, contracts, and reports.
- To communicate the branch and Head Office for admin-related matters.
- Coordinate with logistics, finance, HR, and other teams to support operational needs.
- Ensure all administrative processes comply with company policies.
- Prepare and submit regular reports on administrative activities and branch needs.
- Assist in organizing meetings, training, and branch-level events.
- Support the onboarding of new staff and coordinate with HR for documentation.
- Monitor and coordinate preventive and corrective maintenance for office utilities and equipment.
- Liaise with vendors and service providers for timely repair and upkeep of branch infrastructure.
- Maintain records of service schedules, repairs, and equipment performance.
- Coordinate branch transportation needs, vehicle scheduling, and routine vehicle maintenance.
- Monitor and record vehicle logbooks, fuel consumption, and related transport expenses.
- Prepare and submit regular activity and operational reports to management.
- Manage staff accommodation facilities, ensuring proper allocation, maintenance, and compliance with company standards.
- Oversee housekeeping services for office premises and staff housing to maintain cleanliness and safety.
- Supervise external housekeeping staff or contractors where applicable.
Key Requirements
- Bachelor's degree in business administration or related field.
- Minimum 2 years of experience in administrative or coordination roles.
- Strong organizational and multitasking skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good communication and interpersonal skills.
- Knowledge of facilities management, housekeeping, and vehicle administration is an advantage.
