We are an Architecture & Interior Design firm looking for a highly organized, proactive, and professional **Administration Manager / Office Administrator & Executive Assistant to Directors** to manage day-to-day office operations and support the leadership team.

The ideal candidate should have experience handling administration, vendor coordination, office management, budgeting, petty cash management, site coordination support, and executive assistance in a fast-paced creative environment.

### Key Responsibilities:

* Manage overall office administration and daily operations

* Provide executive and personal assistance support to Directors

* Coordinate meetings, calendars, appointments, and travel schedules

* Handle communication between architects, site teams, vendors, consultants, and clients

* Support coordination of ongoing architectural and interior design projects

* Manage office facilities, housekeeping, maintenance, stationery, and inventory

* Coordinate with vendors, contractors, and service providers

* Handle office expenses, budgeting, petty cash, invoice processing, and payment follow-ups

* Maintain office documentation, records, reports, and administrative files

* Assist in procurement, quotations, purchase orders, and vendor management

* Organize team meetings, client visits, and company events

* Ensure smooth workflow between design studio, site teams, and management

* Support HR and employee coordination activities when required

* Track operational expenses and support cost optimization initiatives

### Requirements:

✔ Minimum 5 years of experience in Administration / Executive Assistance / Office Management

✔ Prior experience in Architecture, Interior Design, Construction, or related industries preferred

✔ Experience in handling budgets, petty cash, and office expense management

✔ Strong communication and coordination skills

✔ Excellent multitasking and organizational abilities

✔ Proficiency in MS Office (Excel, Outlook, PowerPoint)

✔ Ability to work independently and handle multiple responsibilities

✔ Professional attitude with strong attention to detail
